Part-Time Medical Virtual Assistant, Prior Authorizations

Provide part-time administrative support to a Missouri psychiatric and addiction care practice, with a focus on medication prior authorizations. Handle calls, scheduling, referrals, faxes, and patient communications through Charm EHR.

Description

  • Process and follow up on medication prior authorization requests.
  • Work with insurers and pharmacies to secure approvals and resolve authorization issues.
  • Track request status and keep authorization records accurate.
  • Handle calls from patients, pharmacies, and insurance representatives.
  • Answer patient questions with professionalism and compassion.
  • Coordinate pharmacy communications and medication requests.
  • Provide virtual receptionist coverage and respond to general front-desk inquiries.
  • Schedule and adjust patient appointments.
  • Organize and respond to email.
  • Process patient referrals and handle incoming and outgoing faxes.
  • Monitor and reply to patient messages in Charm EHR.
  • Maintain patient records and support daily administrative work.

Requirements

  • Experience processing, tracking, and following up on prior authorization requests.
  • Previous work in behavioral health, mental health, or general healthcare.
  • Strong experience handling inbound and outbound calls, patient questions, and pharmacy coordination.
  • Experience with patient scheduling, email, referrals, and medical administration.
  • Excellent written and spoken English.
  • HIPAA training or certification and a strong grasp of patient confidentiality.
  • Careful attention to detail, strong organization, and the ability to manage several tasks accurately.
  • Comfort using healthcare software and navigating multiple systems.
  • Dependable, proactive, self-directed, and able to work independently.
  • Patient, compassionate, professional communication with patients.
  • Availability to work 20 hours per week on Central Time.
  • Relevant work experience.
  • Able to provide NBI Clearance and/or Local Police Clearance before onboarding.
  • Able to attend video meetings with the camera on when required.
  • Access to a reliable computer, stable internet of at least 25 Mbps, a noise-canceling headset, working webcam, and quiet professional workspace.
  • A medical degree or professional medical license is not required.
