Executive Coordinator, CEO and CTO Support (Ann Arbor Hybrid)

Executive Coordinator supporting Deepgram’s CEO and CTO at a voice AI company. The role covers executive scheduling, travel, inbox management, Ann Arbor office operations, and AI-enabled administrative workflows.

Description

  • Support Deepgram’s CEO and CTO under the direction of their Executive Assistant
  • Manage executive scheduling and keep calendars accurate, conflict-free, and aligned with priorities
  • Coordinate complex travel from planning through completion, responding quickly to changes
  • Oversee the CTO’s inbox and triage the CEO’s, resolving routine requests and escalating matters requiring executive judgment
  • Manage daily Ann Arbor office operations, including supplies, vendors, visitors, and workplace upkeep
  • Coordinate logistics for leadership offsites, executive dinners, and team events
  • Track expenses, reimbursements, and corporate card reconciliations
  • Apply AI and automation to scheduling, inbox triage, and meeting preparation
  • Share effective AI-enabled processes with the broader executive support team
  • Help establish shared systems and operating standards for executive and cross-functional operations at Deepgram

Requirements

  • Direct experience supporting an executive, including hands-on calendar management and travel booking
  • Outstanding attention to detail when coordinating schedules across time zones
  • Daily practical use of AI tools and enthusiasm for replacing manual work with them
  • Clear and professional written communication
  • Good judgment when handling confidential information
  • Ability to manage competing requests calmly under pressure
  • Availability to respond to time-sensitive executive needs throughout the day as part of a two-person coverage team
  • Openness to feedback and coaching
  • Residence within commuting distance of Ann Arbor, Michigan, with consistent in-office attendance
  • One to three years of executive support or comparable coordination experience
  • Background in a technology startup or high-growth company support role
  • Experience supporting multiple executives simultaneously
  • Experience using AI for more than chat, including automations, custom assistants, or workflows
  • Experience with office management or workplace operations
  • Familiarity with executive support tools for calendars, travel, expenses, and communications
  • Legal authorization to work in the country where the role is based
