Remote Project and Accounting Coordinator (Construction)

Coordinate project administration and accounting for a construction management firm’s projects across multiple states. Handle project records, job costs, billing, payables and receivables, and financial reporting.

  • Support project managers and company leaders with administration and coordination across active construction projects.
  • Set up projects and keep company system records accurate.
  • Organize electronic project files and supporting documents.
  • Create and update project, work order, and job tracking logs.
  • Help create and track purchase orders.
  • Coordinate project needs and open items with vendors and field staff.
  • Track project invoices, purchase orders, material purchases, and job documents.
  • Help coordinate permits and inspections.
  • Maintain vendor and customer records.
  • Follow up on pending administrative tasks.
  • Enter vendor invoices and routine accounting transactions.
  • Support accounts payable and receivable processing.
  • Prepare and enter customer invoices, then apply customer payments.
  • Maintain receivables records and check invoices for correct job and cost code allocation.
  • Record and update job costs, and support cost transfers and corrections.
  • Reconcile vendor statements and investigate discrepancies.
  • Monitor unpaid customer invoices and help with collection follow-up.
  • Keep supporting records for accounting transactions.
  • Help code and reconcile credit card charges and expenses.
  • Assist with job cost, billing, payables, receivables, and internal financial reports.
  • Maintain project cost records and monitor job costs.
  • Track purchase orders, committed costs, vendor invoices, and project spending.
  • Compare actual project costs with budgets.
  • Flag missing invoices, miscoded jobs, duplicate charges, and other discrepancies.
  • Support project closeout and final accounting reconciliation.
  • Work with project managers, field operations, vendors, accounting staff, and company leaders.

आवश्यकताएँ

  • Previous administrative, project coordination, or accounting experience in construction.
  • Experience with payables, receivables, billing, purchase orders, job costing, and entering accounting transactions.
  • Strong skills in Microsoft Excel, Outlook, and Microsoft 365.
  • Well organized, detail-oriented, and accurate.
  • Able to manage several projects and priorities at once.
  • Comfortable communicating with vendors, customers, field staff, project managers, and company leaders.
  • Self-directed and able to follow up and complete tasks independently.
  • Construction or project management software experience is a strong advantage.
  • Experience with Foundation accounting software is preferred.
  • An up-to-date resume is required.
  • A short, 1–2 minute Loom video is required to advance to the next hiring stage.
