Aprašymas

  • Oversee complex calendars for meetings, court appearances, client consultations, and personal commitments.
  • Spot scheduling conflicts early and resolve them proactively.
  • Screen and route calls, email, and correspondence; draft initial replies and flag urgent matters.
  • Prepare meeting agendas, briefing notes, presentations, and related materials.
  • Monitor tasks, deadlines, action items, and follow-ups through completion.
  • Arrange domestic and international travel, including itineraries, bookings, lodging, and expense reports.
  • Keep filing systems organized and support document preparation and formatting.
  • Maintain legal case management and CRM records in tools such as Clio or Lawmatics.
  • Act as a professional contact for clients, opposing and co-counsel, vendors, and firm staff.
  • Arrange personal appointments, errands, and household requests as needed.
  • Apply AI tools and large language models to recurring administrative work and efficiency improvements.
  • Find and automate workflow opportunities, including drafting communications, preparing meetings, organizing information, and tracking follow-ups.
  • Create and improve prompts and repeatable processes that deliver accurate, useful results.
  • Check AI-generated material for accuracy and follow firm policies for confidential or privileged information.
  • Safeguard sensitive client files, personnel matters, and firm financial information.
  • Use sound judgment and maintain professional boundaries when handling sensitive requests and communications.

Reikalavimai

  • Demonstrated experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior leaders.
  • Ability to manage complex calendars independently, balance competing priorities, and follow through on urgent deadlines.
  • Substantial practical use of AI tools and large language models to automate work, beyond occasional chatbot use.
  • Excellent written and spoken English and polished professional communication.
  • Strong organization, attention to detail, and ability to anticipate needs.
  • Experience arranging travel, preparing meeting materials, and keeping documentation organized.
  • Discretion and sound judgment when handling confidential information.
  • Comfort providing support for both work and personal coordination needs.
  • Prior experience supporting attorneys or working in a law firm.
  • Familiarity with Clio, Lawmatics, or similar legal case management and CRM software.
  • Experience using workflow automation platforms together with AI tools.
