Virtual Sales Executive Assistant – Remote, United States

Remote sales support role managing client pipelines, outreach, proposals, CRM workflows, and follow-up. Serves VaVa Virtual Assistants’ clients in nonprofit, legal, coaching, and finance sectors.

Description

  • Represent VaVa Virtual Assistants with professionalism across all interactions
  • Provide daily sales support while learning each client’s offer, target customer, and sales process
  • Manage sales inboxes, prioritize prospect responses, draft replies, and ensure timely follow-up
  • Conduct personalized LinkedIn and cold email outreach while maintaining follow-up sequences and automations
  • Build, clean, deduplicate, enrich, and verify prospect lists with prospecting tools and AI-supported workflows
  • Maintain CRM records and prospect spreadsheets with notes, pipeline stages, follow-up tasks, and analysis
  • Evaluate prospects against ideal customer profiles and refer qualified opportunities to clients or sales teams
  • Prepare, send, and follow up on proposals, RFPs, and electronically signed sales agreements
  • Create pitch decks and presentations and maintain sales collateral and email template libraries
  • Coordinate sales calls across time zones, prepare research briefs, record notes, and send follow-up messages
  • Write, edit, and proofread sales emails, nurture messages, and follow-up sequences in each client’s voice
  • Assist with networking outreach, podcast and speaking engagements, partner follow-up, and referral initiatives
  • Provide recurring pipeline reports covering stages, response rates, stalled opportunities, and client-defined metrics
  • Transfer new customers to onboarding and keep CRM records current
  • Comply with CAN-SPAM, do-not-call, and opt-out requirements
  • Safeguard prospect, customer, and client information and use only approved tools
  • Complete administrative work such as calendar management, travel coordination, and document preparation
  • Communicate proactively about progress, deadlines, and blockers while collaborating with other contractors

Requirements

  • Live in the United States and be authorized to work there
  • Bring at least three years of demonstrated experience in sales, sales support, or sales operations
  • Have worked directly with a sales leader, founder, or sales team
  • Have at least one year of full-time virtual or remote work experience
  • Be available for at least 20 hours per week of high-touch, daily client support
  • Work proficiently with Google Workspace, Microsoft Office, Slack, and Zoom
  • Use Excel and Google Sheets confidently, including importing, exporting, cleaning, and analyzing prospect data
  • Have experience with at least one CRM, such as Salesforce, HubSpot, HoneyBook, or Dubsado
  • Have experience with at least one email or outreach platform, such as ActiveCampaign, Mailchimp, Flodesk, mail merge tools, or AI inbox tools
  • Have experience with at least one scheduling platform, such as Calendly or Acuity
  • Have experience with at least one project management platform, such as Trello, Asana, ClickUp, Notion, or Monday.com
  • Have experience with at least one prospecting platform, such as Apollo.io, Hunter.io, ZoomInfo, or LinkedIn Sales Navigator
  • Demonstrate LinkedIn and cold email outreach experience, including personalization and follow-up cadences
  • Demonstrate experience creating proposals, RFPs, sales agreements, and pitch decks
  • Understand how to use AI for prospect research, outreach drafting, and follow-up, including which data must be excluded from AI tools
  • A degree is not required
  • Without a degree, hold at least one relevant sales certification, such as HubSpot Sales Software, Salesforce Certified Associate, Certified Administrative Professional, Microsoft Office Specialist, or an equivalent credential
  • Preferred experience includes cold calling; AI-assisted lead generation and follow-up automation; e-signature and contract platforms; AI notetakers; cold email deliverability; indirect sales channels; SaaS, product, or service sales; and marketing or lead generation
