Senior Executive Assistant - Grainger - Santa Ana, CA

Provide senior-level administrative and onsite office operations support for Grainger’s MRO distribution and inventory technology teams in Santa Ana. Manage executive scheduling, travel, events, confidential communications, and workplace coordination.

Description

  • Oversee complex calendars, scheduling, and meetings for senior leaders
  • Arrange domestic and international travel, including itineraries, accommodations, and expense reports
  • Create presentations, reports, agendas, and communications for executives
  • Prepare leadership meeting materials, record action items, and drive follow-up completion
  • Protect sensitive and confidential information
  • Support special projects and cross-functional initiatives
  • Act as the main contact for daily office operations
  • Coordinate vendors, facilities requests, maintenance, and workplace services
  • Oversee office supplies, inventory, and equipment
  • Coordinate onboarding logistics, workspace preparation, and office orientation
  • Plan onsite meetings, team events, employee engagement activities, and visitor arrangements
  • Maintain an organized, welcoming, and productive workplace
  • Work with leaders to coordinate activities and strengthen administrative processes
  • Support budget tracking, purchase orders, invoices, and expense administration
  • Develop effective relationships with internal stakeholders and external partners
  • Find ways to increase efficiency and improve team operations

Requirements

  • At least five years of executive administrative experience supporting senior leaders or executives
  • Demonstrated ability to manage competing priorities in a dynamic, fast-paced environment
  • Strong organizational, time-management, and problem-solving abilities
  • Advanced Microsoft Office proficiency, including Outlook, PowerPoint, Excel, and Teams
  • Excellent written and verbal communication skills
  • Sound judgment and the ability to handle confidential information discreetly
  • Office management or workplace operations experience preferred
  • Experience supporting technology, engineering, or rapidly growing business teams preferred
  • Strong project coordination and event planning experience preferred
  • Bachelor’s degree or an equivalent combination of education and experience preferred
