Senior Administrative Assistant — Capital One (Onsite)

Support multiple Capital One executives with complex calendar management, travel coordination, events, expense reporting, and professional communications. This onsite role partners across a fast-paced technology environment to keep executive and team operations running smoothly.

Description

  • Manage and reprioritize calendars for multiple executives as schedules and priorities change
  • Coordinate conference rooms, catering, audio/video services, and other meeting requirements
  • Arrange business travel and prepare expense reports through Capital One systems
  • Lead team activities and events, including all-hands meetings, conferences, supply ordering, and social gatherings
  • Draft polished business communications such as memos, letters, and emails
  • Develop and maintain effective working relationships with executives and administrative professionals across the organization
  • Handle general administrative work, including copying, mail distribution, ad hoc projects, committees, and group events
  • Help foster a positive, collaborative, and team-oriented workplace
  • Support multiple executives with administrative responsibilities that advance department and company objectives
  • Oversee complex executive schedules, distribute information, and act as a team ambassador and executive gatekeeper

Requirements

  • High school diploma, GED, or equivalent certification
  • At least two years of administrative experience
  • At least two years of experience using Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint, or Google Suite
  • Associate degree preferred
  • Five or more years of experience as an executive assistant or administrative assistant in a fast-paced environment preferred
  • Three or more years of calendar management experience supporting multiple executives preferred
  • At least one year of meeting and event planning experience preferred
  • Experience setting up video conferencing and Zoom or Skype technology for meeting users preferred
  • Demonstrated ability to plan ahead and manage time effectively preferred
  • Excellent written and verbal communication skills preferred
  • Strong organizational skills preferred
