Remote Administrative Coordinator – United States

Invicta Software is seeking a remote Administrative Coordinator to manage schedules, documentation, project follow-up, and HR administration. The role supports communication and operational efficiency across distributed teams.

Description

  • Oversee smooth day-to-day administrative operations in a fully remote environment
  • Act as a key contact for internal teams and external partners
  • Organize schedules, meetings, and project timelines in support of business objectives
  • Keep records and documentation accurate and up to date
  • Manage calendars, appointments, and virtual meeting arrangements for multiple teams
  • Monitor project deadlines, deliverables, and follow-up actions
  • Create, organize, and maintain company documents, reports, and correspondence
  • Help onboard employees and provide administrative support for HR activities
  • Connect departments to promote clear communication and timely information sharing
  • Arrange travel, process expense reports, and communicate with vendors when required
  • Spot administrative inefficiencies and implement process improvements
  • Contribute to ad hoc projects and special initiatives at management’s direction

Requirements

  • Demonstrated experience in administration or coordination, ideally within a remote workplace
  • Highly organized with strong attention to detail
  • Excellent written and spoken communication skills
  • Working knowledge of Microsoft Office, Google Workspace, and project management tools such as Asana and Trello
  • Able to work independently while balancing competing priorities and deadlines
  • Comfortable collaborating virtually across multiple time zones
  • Discreet and professional when handling confidential information
  • High school diploma required
  • Relevant professional experience may substitute for the preferred associate or bachelor’s degree
  • Experience supporting technology or software development teams is a plus
  • Basic knowledge of accounting or invoicing is advantageous
  • Must reside in the United States
