Executive Assistant II – Plano, TX (Hybrid)

Support Ryan firm leaders with confidential scheduling, correspondence, travel coordination, and document management. This full-time hybrid role is based in Plano, Texas.

Description

  • Provide high-level administrative support to department professionals, board members, division heads, officers, or managers
  • Represent the firm with professionalism and a positive attitude
  • Serve as an extension of the leader when working with colleagues and clients
  • Manage email, written, telephone, and fax communications while the leader is traveling
  • Prepare reports, meeting minutes, correspondence, documents, spreadsheets, and presentations
  • Manage schedules, appointments, itineraries, meeting calendars, preparation materials, and follow-up actions
  • Coordinate meetings, travel arrangements, conference calls, and expense reports
  • Answer and route telephone calls while recording accurate messages
  • Organize and prioritize multiple assignments within strict deadlines
  • Manage correspondence, filing, incoming mail, and delivery of client documentation
  • Complete office administration tasks as directed by the PIC
  • Protect confidential and sensitive information
  • Identify process improvements and support the development of firm policies
  • Review and edit documentation related to clients
  • Maintain client and administrative filing systems and procedures
  • Stay current with business-unit and corporate policies
  • Support additional projects as required
  • Complete advanced assignments with minimal supervision and perform other assigned duties
  • May mentor and train less-experienced team members

Requirements

  • High school diploma
  • At least five years of experience supporting a firm’s practice-management leadership
  • Strong grammar and proofreading abilities
  • Extensive experience handling sensitive, complex, and confidential contacts
  • Advanced proficiency with Microsoft Word, Excel, Access, PowerPoint, Outlook, and internet research and navigation
  • Valid driver’s license
  • Notary Public certification preferred
