Audio Localization Planning Coordinator - Keywords Studios, Canada Remote

Coordinate voice talent, studio resources, schedules, and recording sessions for Keywords Studios’ video-game localization and audio production work. Support accurate planning, secure material handling, and smooth studio operations.

Description

  • Plan and maintain daily and weekly recording schedules across internal and external studios.
  • Book voice talent, Artistic Directors, Sound Operators, and recording rooms.
  • Verify the availability of talent and technical resources.
  • Assign studios and resources while resolving scheduling conflicts.
  • Coordinate activities among talent, Artistic Directors, Sound Operators, Production Coordinators, Project Managers, and studio teams.
  • Monitor schedule changes, cancellations, rescheduling, pickups, retakes, and urgent operational requirements.
  • Confirm that recording materials and instructions are ready before each session.
  • Distribute and monitor materials securely in line with confidentiality requirements.
  • Prioritize recording windows and resolve conflicts with Production Coordinators and Project Managers.
  • Escalate risks involving missing materials, resource conflicts, or outstanding confirmations.
  • Manage actor access and direct talent to the appropriate recording studios.
  • Negotiate one-off rates in accordance with the defined strategy.
  • Provide recording-status updates to the Production Coordinator.
  • Maintain calendars, planners, trackers, spreadsheets, and scheduling systems.
  • Record sessions, confirmations, changes, cancellations, rescheduling, and associated costs.
  • Develop and maintain booking guidelines while documenting project requirements.
  • Contribute to improvements in processes and planning tools.
  • Improve recording-booth utilization.
  • Maintain administrative data for supplies, bookings, session records, and payments.
  • Process documentation for talent, vendors, and external audio resources.
  • Collect signatures and archive contracts, NDAs, Actors’ Agreements, and vendor records.
  • Maintain communication with the local Audio Production Team and internal and external stakeholders.
  • Assist with client-facing activities when needed.
  • Provide operational coverage for Production Coordinators and the Recording Studio Manager during absences or peak workloads.

Requirements

  • Prior experience in production coordination, booking, planning, casting, dubbing, audiovisual production, localization, or a related field.
  • Strong organizational skills with the ability to manage multiple schedules simultaneously.
  • Excellent written and spoken English communication skills.
  • Working knowledge of Google Workspace, Excel or Sheets, shared calendars, and operational trackers.
  • Knowledge of the video-game industry, including publishers, developers, and platforms, is an advantage.
  • Adaptability to changing workflows and new tools.
  • Knowledge of relevant local regulations is an advantage.
  • Experience in dubbing, game localization, voice-over, or audio post-production.
  • Understanding of recording-studio workflows.
  • Experience handling contracts, NDAs, freelancer payments, or vendor documentation.
  • Familiarity with file-transfer tools and material-tracking processes.
  • Spanish language skills are an advantage.
  • Ability to work under pressure, adjust to shifting priorities, and meet deadlines in a fast-paced environment.
  • Proactive, dependable, detail-focused, and able to respond with urgency.
  • Effective communication skills with talent, vendors, technical teams, and internal stakeholders.
  • Ability to handle sensitive, confidential, and client-related information appropriately.
  • Sound judgment when prioritizing work and negotiating rates or availability with external resources.
  • Strong problem-solving, decision-making, organizational, and analytical abilities.
  • Collaborative and motivated, with the willingness to learn and use company-specific tools and methods.
