Administrative Assistant II, Cardiovascular Medicine — Hybrid

Provide administrative and operational support to Ohio State cardiovascular medicine faculty and clinical activities. Coordinate schedules, travel, human resources, finances, facilities, and departmental events.

Description

  • Deliver administrative, operational, and business support to non-invasive cardiovascular medicine faculty
  • Manage daily business activities for twelve faculty members
  • Maintain clinical assignments across QGenda, IHIS, and Outlook
  • Coordinate physician leave, clinic openings, and clinic closures
  • Prepare and submit physician expense reports
  • Arrange business travel and complete related documentation
  • Support faculty and staff onboarding, offboarding, and transition activities
  • Manage calendars and coordinate communications
  • Organize meetings, conferences, workshops, and special events
  • Prepare and distribute agendas, meeting materials, and follow-up communications
  • Address facilities and space needs for heart failure faculty and staff
  • Lead the development and maintenance of division clinical and call schedules
  • Communicate schedule details, locations, issues, and concerns to physicians
  • Manage urgent patient scheduling requests and priority scheduling initiatives
  • Track template changes, access availability, and scheduling metrics
  • Provide administrative assistance and project support to non-invasive cardiologists
  • Coordinate daily finance, human resources, outreach, marketing, facilities, and space activities
  • Implement, assess, and revise administrative policies and procedures
  • Research and assemble information for departmental reports and strategic planning
  • Initiate travel, eRequest, and Human Resources Action processes
  • Act as a liaison with university offices, faculty, staff, and external agencies

Requirements

  • Final candidates must successfully complete a background check
  • A drug screen or physical examination may be required after an offer is made
  • Use scheduling and template software to maintain clinical schedules
  • Coordinate clinical scheduling, faculty support, financial transactions, human resources processes, facilities and space needs, communications, travel, and event logistics
  • Prepare and submit expense reports by required deadlines
  • Coordinate business travel and complete spend authorizations and travel documentation
  • Support faculty and staff onboarding, offboarding, and transitions
  • Manage calendars and arrange meetings, conferences, workshops, and special events
  • Research, gather, and consolidate information for complex departmental reports
  • Serve as a liaison with university offices, faculty, staff, and external agencies
