Administrative Assistant II – Abbott | Austin, TX (Onsite)

Support Abbott’s Neuromodulation healthcare-device division as an Administrative Assistant II. Manage executive calendars, travel, documents, onboarding, and department operations in Austin or Plano.

Description

  • Handle departmental administration, including phones, calendar and travel coordination, correspondence, courier arrangements, expense reports, meetings and events, document and presentation preparation, teleconference and BlackBerry setup, and remote-access issue coordination.
  • Track departmental budget expenditures.
  • Organize and maintain departmental files in accordance with corporate and government requirements.
  • Apply purchasing and requisition processes along with Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures.
  • Order business cards and stationery.
  • Use intermediate to advanced Microsoft Office Suite and business-specific software skills.
  • Coordinate office setup and onboarding for new employees.
  • Train new administrative assistants or coordinate their work.
  • Communicate regularly with senior executives.
  • Manage calendars, meetings, and travel schedules.
  • Anticipate and resolve scheduling conflicts.
  • Act as the manager’s primary scheduling contact.

Requirements

  • High school diploma, GED, or an equivalent combination of education and professional experience.
  • At least three years of administrative experience or equivalent experience.
  • Ability to work with general direction and limited supervision.
  • Intermediate to advanced proficiency with Microsoft Office Suite.
  • Working knowledge of Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.
  • Intermediate to advanced understanding of business processes and requirements.
  • Some college or other post-secondary education is preferred.
  • Ability to handle confidential and business-sensitive information.
  • Ability to arrange domestic and international travel.
