Job Duck is hiring a remote Legal Assistant in Brazil to support US-based litigation practices. The role covers legal files, deadlines, client follow-ups, documents, calendars, and administrative case support.

  • Maintain complete, current records in the firm’s practice management system
  • Clarify ambiguous instructions and use feedback to improve future work
  • Proactively identify opportunities to contribute and support teammates as needed
  • Organize, label, and maintain legal files and case records
  • Prepare basic legal documents and correspondence from approved templates
  • Schedule hearings, meetings, deadlines, and case events on firm calendars
  • Track upcoming deadlines and update attorneys and paralegals on outstanding tasks
  • Manage multiple active matters while balancing competing priorities and deadlines
  • Handle sensitive legal information with confidentiality and professionalism
  • Provide administrative and legal assistance to attorneys and paralegals
  • Support prospective-client screening in accordance with training and established procedures
  • Make approximately three to four outbound follow-up calls each week to prospective or existing clients when needed
  • Assist with prospective-client scheduling and follow-up
  • Contact clients about outstanding documents and case-related requirements
  • Send routine correspondence to clients, opposing counsel, and other parties as instructed
  • Record accurate notes during internal meetings and case discussions
  • Help prepare timelines and organize information for active matters
  • Proofread documents for accuracy before submission or distribution
  • Complete forms, pleadings, and legal documents with case-specific details
  • Enter and maintain client records, contact information, case details, and key dates

Талаптар

  • Previous experience as a Legal Assistant, Administrative Assistant, Litigation Assistant, or in a comparable support position is preferred
  • Plaintiff-side litigation experience is preferred but not required
  • Strong organizational and time-management abilities
  • Exceptional attention to detail and accuracy
  • Excellent spoken and written English communication skills
  • Ability to manage competing priorities and meet deadlines
  • Ability to work independently and collaborate effectively with a legal team
  • Sound professional judgment and discretion when handling confidential information
  • Comfort communicating with clients and external contacts by phone and email
  • Openness to constructive feedback and ability to apply it to subsequent work
  • Availability Monday through Friday, 8:00 AM to 5:00 PM Pacific Standard Time
  • Familiarity with practice management systems, CRM platforms, VoIP phone systems, email and calendar tools, internal communication platforms, and Microsoft Office or Google Workspace
