Executive Assistant - iA Financial Group Hybrid

Executive Assistant supporting two Vice Presidents at iA Financial Group, a Canadian insurance, savings, and wealth management organization. The role oversees executive coordination, governance meetings, communications, documentation, and administrative operations.

Description

  • Provide proactive administrative and operational support to two Vice Presidents, overseeing calendars, communications, priorities, travel, and executive logistics
  • Organize leadership meetings, governance committees, and strategic events, including agendas, meeting materials, action tracking, and follow-up
  • Draft, edit, translate, and format executive correspondence, reports, presentations, and other business documents
  • Partner with Executive Assistants, internal teams, and external stakeholders to coordinate and deliver business activities effectively
  • Assist with onboarding, security requests, organizational updates, employee engagement initiatives, and other operational processes
  • Maintain workforce data and organizational charts with careful attention to accuracy and confidentiality
  • Improve administrative processes and coach or assist less experienced administrative colleagues
  • Support special projects and changing business priorities as needed

Requirements

  • Five to ten years of progressively responsible experience providing executive or senior administrative support in a complex, fast-paced organization
  • Highly developed organizational and time-management abilities, including the capacity to balance competing priorities and urgent deadlines
  • Discretion, sound judgment, and professionalism in managing confidential business and employee information
  • Strong problem-solving ability and practical decision-making within established procedures and precedent
  • Proven ability to build productive relationships and collaborate with leaders, colleagues, and stakeholders across teams
  • Clear, polished verbal and written communication skills
  • Advanced Microsoft 365 expertise, including Teams, Outlook, Word, Excel, PowerPoint, SharePoint, and OneNote
  • Responsible use of AI and emerging digital tools to improve efficiency and streamline administrative work
  • Ability to support and mentor colleagues without direct supervisory authority
  • Ability to work from the Toronto or Montreal/Brossard office and adapt to changing executive and business requirements
  • Advanced English proficiency required
  • Advanced French proficiency required; additional French capability is a strong asset
