Audio Localization Planning Coordinator - Keywords Studios (Remote, US)

Coordinate voice talent, studio bookings, recording resources, and schedule changes for Keywords Studios’ audio localization operations. Support accurate, confidential, and efficient planning across video game recording projects.

Description

  • Manage daily and weekly recording schedules for internal and external studios.
  • Book voice talent, Artistic Directors, Sound Operators, and recording rooms for scheduled sessions.
  • Verify the availability of talent and technical resources.
  • Assign studios and resources while resolving booking and availability conflicts.
  • Coordinate with talent, Artistic Directors, Sound Operators, Production Coordinators, Project Managers, and studio staff.
  • Monitor schedule changes, cancellations, rescheduling, pickups, retakes, and urgent operational requests.
  • Confirm that recording materials and session instructions are ready in advance.
  • Distribute and track materials securely in line with confidentiality requirements.
  • Prioritize recording windows and resolve conflicts with Production Coordinators and Project Managers.
  • Identify and escalate operational risks before they affect sessions.
  • Manage actor access and direct performers to the correct recording studio.
  • Negotiate one-off rates within the established strategy.
  • Provide recording-status updates to the Production Coordinator.
  • Maintain calendars, planning tools, trackers, spreadsheets, and internal scheduling systems.
  • Keep accurate records of sessions, confirmations, changes, cancellations, rescheduling, and associated costs.
  • Develop and maintain booking procedures while documenting project-specific requirements.
  • Contribute to improvements in processes and operational tools.
  • Maximize recording-booth utilization.
  • Maintain administrative records for supplies, bookings, sessions, and payment-related information.
  • Handle documentation for talent, vendors, and external audio resources.
  • Collect signatures and organize and archive contracts, NDAs, Actors’ Agreements, and vendor records.
  • Maintain regular communication with the local Audio Production Team and relevant stakeholders.
  • Assist with client-facing activities as needed.
  • Provide operational cover for Production Coordinators and the Recording Studio Manager during absences or peak workloads.

Requirements

  • Previous experience in production coordination, booking, planning, casting, dubbing, audiovisual production, localization, or a related field.
  • Proven ability to organize and oversee multiple schedules concurrently.
  • Strong written and spoken English communication skills.
  • Working knowledge of Google Workspace, Excel or Sheets, shared calendars, and operational tracking tools.
  • Knowledge of the video game industry, including publishers, developers, and platforms, is advantageous.
  • Comfort adapting to changing workflows and learning new tools.
  • Knowledge of relevant local regulations is advantageous.
  • Experience in dubbing, game localization, voice-over, or audio post-production.
  • Understanding of recording-studio processes and workflows.
  • Experience handling contracts, NDAs, freelancer payments, or vendor records.
  • Familiarity with file-transfer platforms and workflows for tracking materials.
  • Spanish-language skills are advantageous.
  • Ability to perform under pressure, adjust to shifting priorities, and meet deadlines in a fast-paced setting.
  • Proactive, dependable, detail-focused, and responsive to urgent needs.
  • Ability to communicate effectively with talent, vendors, technical teams, and internal stakeholders.
  • Ability to handle sensitive, confidential, and client-related information appropriately.
  • Sound judgment when prioritizing work and negotiating rates and availability with external resources.
  • Strong problem-solving, decision-making, organizational, and analytical abilities.
