Administrative Assistant II - Austin or Plano, Texas (Onsite)

Support Abbott’s Neuromodulation operations in Austin or Plano, Texas, through executive calendar management, travel coordination, document preparation, onboarding, and departmental administration.

Description

  • Answer incoming calls and manage calendars
  • Arrange meetings, couriers, and domestic and international travel
  • Handle correspondence and process expense reports
  • Organize meetings and events
  • Create and revise business documents and prepare presentations from source materials
  • Set up teleconferences and BlackBerry devices
  • Coordinate remote access issues as a liaison
  • Assist with tracking departmental budget expenditures
  • Maintain departmental files in accordance with corporate and government regulations
  • Follow purchasing, requisition, security, privacy, branding, and copy center procedures
  • Order business cards and stationery
  • Work with Microsoft Office Suite and other business-specific software
  • Coordinate office setup and onboarding for new employees
  • Train new administrative assistants or coordinate their work
  • Identify and resolve scheduling conflicts proactively
  • Serve as the primary contact for the manager’s schedule

Requirements

  • High school diploma or GED, or an equivalent combination of education and work experience
  • At least three years of administrative experience or equivalent experience
  • Ability to work with general instruction and limited supervision
  • Intermediate to advanced proficiency with Microsoft Office Suite
  • Working knowledge of Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook
  • Some college coursework or post-secondary education is preferred
  • Intermediate to advanced understanding of business processes and requirements
  • Ability to manage confidential or business-sensitive information
  • Ability to interact consistently with senior-level executives
