Customer Billing Administrator

Manage customer billing operations for Ricoh, including invoices, contracts, account data, and billing issue resolution. Support internal and external customers by investigating discrepancies and maintaining accurate records.

Descriere

  • Respond to customer questions about billing, order status, deliveries, and cancellations.
  • Enter maintenance and contract details into the billing system.
  • Collect meter readings, purchase order numbers, and other information needed for billing.
  • Coordinate with Ricoh locations to investigate and resolve billing discrepancies.
  • Create and maintain contract records and billing information.
  • Protect database accuracy by verifying customer details and record changes.
  • Work with Sales, Operations, management, and other internal teams to resolve issues and provide answers.
  • Handle invoice and account-option calls while proactively addressing unresolved customer concerns.
  • Request credit memos for incorrect or amended billing.
  • Remove maintenance and contract records when equipment is decommissioned.
  • Provide management with a monthly report of unbilled contract information.
  • Promote Ricoh products and services.
  • Prepare detailed reports and spreadsheets as requested.
  • Support the coaching and mentoring of junior team members.
  • Participate in team meetings and daily huddles.
  • Identify opportunities to improve interdepartmental processes and efficiency.
  • Help colleagues resolve customer concerns and complex issues.
  • Work occasional overtime to meet deadlines.
  • Complete other assigned duties.

Cerințe

  • High school diploma or equivalent.
  • At least three years of business experience, including experience with Ricoh and/or general business operations.
  • One to two years of customer billing experience preferred.
  • Experience using an MRP-style inventory or purchasing system preferred.
  • Proficiency with computer data entry, Internet or intranet systems, and Microsoft Outlook.
  • Strong numerical and mathematical skills.
  • Proficiency with Microsoft Excel and Word.
  • Comfort using PCs and learning related systems.
  • Strong customer-service orientation and telephone skills.
  • Excellent interpersonal and communication abilities.
  • Strong organization skills and the ability to manage multiple tasks.
  • Flexibility to adjust availability when the work schedule requires it.
  • Ability to perform duties that require critical thinking.
  • This is a non-driver position.
