Student Commons Administrator - University of Alberta (Hybrid)

Support students and visitors at the University of Alberta’s Student Commons in a hybrid, part-time role. Oversee bookings, technology assistance, events, safety procedures, café operations, and General Office administration.

Description

  • Open and close the Student Commons, including unlocking the front entrance
  • Administer the space-booking system and train users on making reservations
  • Handle visitor-facing situations calmly and escalate for assistance when appropriate
  • Keep the Student Commons and café area clean and orderly
  • Operate and maintain café equipment, including coffee machines, sinks, and refrigerators
  • Support technology operations by troubleshooting issues, reporting problems, and confirming resolution
  • Check technology supplies and other items in and out, maintain inventory records, and follow up on missing returns
  • Enforce the space code of conduct and intervene or escalate when necessary
  • Help space tenants access and use the facilities
  • Provide students with information about campus services, health and wellness resources, and advising
  • Explain how students can book academic and career advising appointments and promote those services
  • Find and implement ways to improve the student experience
  • Coordinate student activities and liaise with contracted service providers
  • Support Alberta School of Business events held in the Carruthers Student Commons
  • Provide General Office coverage during vacations, emergencies, and illnesses
  • Contact trades, building services, AICT, the Help Desk, technology teams, and classroom technology services based on urgency
  • Keep all relevant parties informed throughout service requests and operational matters
  • Process Business Boutique purchases and document goods sold
  • Organize General Office supplies and basement storage areas
  • Monitor key and equipment use and confirm returned items
  • Escort individuals to the basement storage room
  • Stamp and approve bulletin-board postings in line with policies and procedures
  • Record and monitor first-aid-kit usage
  • Prepare packages and materials for distribution
  • Complete General Office opening and closing tasks, including alarms, keys, drawers, and storage rooms
  • Administer key allocation, retrieval, inventory, and related documentation
  • Receive, secure, and distribute checks for departments and business student organizations
  • Monitor the secured safes used by student clubs
  • Perform initial maintenance and troubleshooting for photocopiers, AV equipment, and laptops; arrange servicing and report replacement requirements

Requirements

  • At least two years of post-secondary education
  • Related post-secondary education is preferred, such as events, office administration, business, education, or library and information studies, or equivalent experience
  • One to two years of office experience, preferably in a post-secondary setting
  • Strong customer service capabilities
  • Excellent written and verbal communication, organizational, and interpersonal skills
  • Strong computer skills and the ability to learn software applications quickly
  • Proficiency with Microsoft Office and Google Workspace
  • Ability to work in a busy environment with frequent interruptions
  • Ability to work independently and take proactive initiative
  • Demonstrated problem-solving, risk mitigation, judgment, adaptability, and response skills
  • Knowledge of and sensitivity to health and wellness topics
  • Mental health first aid certification is an asset; training will be provided if required
  • Knowledge of event technology, including panel systems, AV inputs and outputs, signal flow, basic sound setups, microphones, speakers, and introductory sound troubleshooting
  • Effective time management and follow-through
  • Willingness to learn and build new skills
