Remote Behavioral Health Administrative Assistant – Kenya

Kenya-based remote administrative assistant supporting a U.S. behavioral health practice with patient records, scheduling, prior authorizations, GeneSight orders, and billing. The role works closely with clinicians, patients, pharmacies, and insurers.

Description

  • Maintain patient demographic, insurance, billing, and administrative data in EHR/EMR systems
  • Check records for completeness, correct inaccuracies, and follow up on missing details
  • Organize electronic documents and associate each record with the appropriate patient
  • Prepare and submit pharmacy prior authorization requests, collect supporting information, monitor submissions, and follow up with pharmacies and insurers
  • Process GeneSight orders, confirm required details, monitor order status, and record progress
  • Support insurance verification, billing follow-up, payment processing, and other revenue-cycle tasks
  • Monitor unresolved billing and insurance issues and handle routine eligibility, claims, and administrative inquiries with insurers
  • Schedule, reschedule, and confirm psychological and behavioral health assessment appointments
  • Coordinate appointments among patients, psychologists, clinicians, and administrative personnel
  • Communicate professionally with patients, pharmacies, insurers, healthcare institutions, and other external organizations
  • Accurately record calls and communications and refer clinical matters to licensed professionals
  • Provide day-to-day administrative support to therapists, psychologists, psychiatric providers, and administrative colleagues
  • Use Google Workspace for communication, documentation, scheduling, meetings, and information management
  • Protect confidential information and follow HIPAA, privacy, cybersecurity, and data-security requirements
  • Use authorized systems to handle protected health information and report suspected privacy or security incidents

Requirements

  • Bachelor’s degree in Health Information Management, Healthcare Administration, Public Health, Health Services Management, Health Informatics, Business Administration with a healthcare focus, or a related discipline
  • At least 3–5 years of administrative experience in a healthcare setting
  • Experience supporting healthcare professionals, clinics, hospitals, behavioral health organizations, insurers, or comparable environments
  • Prior experience working with an EHR/EMR system
  • Understanding of healthcare administration, patient-information workflows, confidentiality, and HIPAA requirements
  • Strong computer, data-entry, organization, and prioritization abilities
  • Excellent written and spoken English, including clear and professional telephone communication
  • Strong interpersonal and customer-service skills
  • Ability to work independently, meet deadlines, and manage multiple administrative duties
  • Advanced proficiency with Google Workspace
  • Reliable high-speed internet and a professional, private workspace
  • Experience with, or the ability to quickly learn, EHR/EMR platforms, Google Workspace, pharmacy prior authorization portals, GeneSight ordering systems, healthcare billing and RCM platforms, insurance portals, practice-management and scheduling tools, and secure healthcare communication and payment-processing systems
  • Preferred: background in behavioral health, mental health, psychiatry, psychology, therapy, or counselling
  • Preferred: experience with pharmacy prior authorizations and appeals, GeneSight or comparable diagnostic or laboratory order processing, healthcare billing or Revenue Cycle Management, psychological or behavioral health assessment scheduling, insurance verification and insurer communications, healthcare payment processing, U.S.-based healthcare organizations, and U.S. healthcare terminology and administrative procedures
