Project Administrative Assistant - San Diego Hybrid

Support HMC Architects’ construction design projects through project administration, document control, data entry, and meeting coordination. Serve as a coordination point for clients, contractors, consultants, architects, and internal project teams.

Description

  • Support construction administrators, project managers, and principals throughout project delivery
  • Communicate with employees, consultants, clients, contractors, and office visitors
  • Maintain project document control across all phases
  • Address client needs and service requests while gathering feedback
  • Serve as a central contact for architects, clients, consultants, contractors, and construction services teams
  • Enter and maintain project data across multiple platforms
  • Prioritize and organize work to meet department, program, project, and firm deadlines
  • Attend meetings and track follow-up actions
  • Prepare and distribute project meeting minutes
  • Organize work assignments and related administrative tasks
  • Coordinate governing agency submissions and communications
  • Route RFIs, submittals, change documents, and correspondence between contractors and design teams
  • Handle routine general office responsibilities
  • Prepare conference rooms and coordinate with vendors

Requirements

  • High school diploma required; two years of related college coursework preferred, or equivalent experience
  • At least two years of general administrative or office experience
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint
  • Strong attention to detail with the ability to manage multiple tasks
  • Energy and adaptability in a fast-paced work environment
  • Organizational ability to set priorities, objectives, and deadlines
  • Construction industry familiarity is preferred but not required
