Executive Assistant to Marketing Agency Founder

Provide remote executive and personal support to a Dubai-based marketing agency founder, coordinating travel, schedules, household operations, and lifestyle logistics. Manage international vendors and urgent requests across Dubai and European time zones.

Descriere

  • Arrange personal travel, including flights, accommodation, transport, dining reservations, and itineraries.
  • Manage personal appointments and commitments, from medical and fitness sessions to grooming and lifestyle activities.
  • Proactively handle visa renewals, residency documents, licenses, and other personal administration.
  • Oversee household logistics, coordinating vendors, maintenance, deliveries, installations, repairs, and property communications.
  • Take care of errands, sourcing requests, returns, exchanges, and gift purchases.
  • Liaise with accountants, lawyers, building management, concierge services, and other vendors.
  • Respond efficiently to urgent and last-minute logistical requests.
  • Keep the calendar accurate across multiple time zones.
  • Spot potential problems and resolve them independently.
  • Protect confidentiality and act with professionalism and discretion.
  • Identify and address challenges proactively.
  • Work independently and make timely, well-informed decisions.
  • Communicate clearly, precisely, and professionally.
  • Stay composed and effective under pressure.
  • Independently coordinate and manage international vendors.

Cerințe

  • At least two years supporting a founder, executive, entrepreneur, or C-suite professional.
  • Availability across Dubai and European time zones.
  • Substantial experience working remotely across multiple time zones.
  • A polished, professional presentation.
  • Social sophistication and strong emotional intelligence.
  • A track record in affluent, high-achieving environments.
  • High responsiveness, attention to detail, and reliability.
  • Excellent spoken and written English and strong communication skills.
  • Strong organization and the ability to manage competing priorities.
  • A proactive, resourceful approach and the ability to work without close supervision.
  • Comfort with significant responsibility, changing schedules, and urgent requests.
  • Strong online research and problem-solving abilities.
  • Professional composure under pressure.
  • International travel and lifestyle logistics experience is strongly preferred.
  • Applicants with only junior virtual assistant or entry-level administrative experience may not be considered.
