Operations Support Specialist (On-Site)

Supports All Native Group’s Bureau of Medicine with administrative operations, records management, travel coordination, inventory control, and case-tracking activities.

Aprašymas

  • Provide administrative support to the Bureau of Medicine and assist with program management.
  • Organize documents, schedules, travel, inventories, case referrals, required documentation, basic data analysis, and spreadsheets.
  • Prepare and manage correspondence, email, memoranda, presentations, briefings, reports, and issue summaries.
  • Assist customers individually, both in person and remotely.
  • Manage office supplies, materials, psychological testing resources, and service inventories while identifying emerging needs.
  • Create and monitor work orders.
  • Submit and follow IT service center requests through completion.
  • Coordinate new-hire onboarding, including account setup in E2, OpenNet, ClassNet, JWICS, and payroll systems.
  • Manage staff travel through E2.
  • Maintain the program office calendar for schedules, actions, deadlines, and leave.
  • Prepare requests for new diplomatic passports.
  • Convert paper records into scanned electronic files.
  • Maintain, periodically review, secure, and archive electronic document files.
  • Support the program manager and chief in tracking productivity metrics and case referral progress with Microsoft Excel.
  • Compile budget information and work with vendors to obtain quotes and invoices.
  • Perform complex administrative and clerical work supporting policy, operational, or clinical functions.

Reikalavimai

  • High school diploma or equivalent.
  • Associate’s or bachelor’s degree.
  • At least two years of experience supporting comparable administrative or operational functions.
  • Must hold or be able to obtain and maintain a SECRET security clearance; the posting also states that the role requires a Top Secret security clearance.
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint, as well as office technology equipment.
  • Strong written, verbal, interpersonal, and critical-thinking skills.
  • Ability to foster a collaborative team environment.
  • Availability to work Monday through Friday from 8:00 a.m. to 5:00 p.m., with likely rotating or fixed evening and weekend shifts due to the unit’s 24/7 operations.
  • Ability to work in a professional office setting and remain stationary for 75% of the workday.
  • Ability to frequently move standard office equipment weighing up to 25 pounds.
  • Local travel and occasional overnight travel outside the area may be required.
