IT Portfolio Operations and Data Insights Analyst at Vestis

  • Track technology initiatives, plans, milestones, updates, risks, actions, and dependencies for the VP of Corporate IT.
  • Build project dashboards and reports, and follow up to keep deliverables, decisions, budgets, and stakeholder commitments on track.
  • Create requisitions, track purchase orders, monitor invoice processing, and maintain visibility into spending.
  • Maintain procurement and financial trackers, working with Finance, Procurement, Accounts Payable, and vendors to resolve issues.
  • Coordinate vendor and contract administration, including renewals, quotes, inventories, commercial dates, and commitments.
  • Prepare vendor reports and documentation, and support onboarding, compliance, and procurement workflows.
  • Improve workflows, automate manual tasks, standardize practices, and create templates, trackers, and dashboards.
  • Prepare presentations, leadership materials, operating reviews, decision-support documents, and executive communications for the VP of Corporate IT.
  • Maintain governance trackers and oversee risks, actions, decisions, special projects, and stakeholder follow-through.
  • Track resources, contractors, vendors, onboarding, offboarding, staffing, workloads, and team commitments using trackers and dashboards.
  • Coordinate team updates, communications, planning, action items, ownership, deadlines, and accountability.
  • Create dashboards, scorecards, and executive reports covering project status, budgets, vendor performance, resource use, risks, milestones, and operational metrics.
  • Combine and analyze data from multiple sources to produce leadership reports, trend analyses, executive summaries, and decision-making insights.

  • At least five years of experience in IT project management, portfolio operations, analytics, financial administration, executive operations, or a comparable cross-functional role.
  • Experience managing projects, risks, issues, dependencies, actions, vendors, and executive reporting.
  • Practical experience creating dashboards, analyses, management reports, and decision-support materials.
  • Working knowledge of budgets, forecasts, requisitions, purchase orders, invoices, accruals, billing, and reconciliations.
  • Advanced Excel skills, including lookups, pivot tables, validation, reconciliation, and analysis of imperfect data.
  • Strong communication skills with IT, business, Finance, Procurement, vendors, and executives.
  • Exceptional organization, attention to detail, discretion, judgment, and ability to prioritize independently.
  • Ability to balance strategic priorities with detailed execution.
  • Experience providing operational or analytical support to a senior IT executive or leader is preferred.
  • Experience in logistics, distribution, field services, or another complex enterprise environment is preferred.
  • Power BI or comparable business intelligence experience is preferred.
  • Experience in IT portfolio operations, demand management, technology procurement, vendor management, or IT financial management is preferred.
  • Familiarity with ERP, procurement, project management, service management, and collaboration platforms is preferred.
  • PMP, Agile, business analysis, analytics, or Lean certification is a plus.
  • Proficiency with Microsoft 365, including advanced Excel, PowerPoint, Teams, SharePoint, and OneDrive.
  • Experience with Power BI or comparable visualization tools.
  • Familiarity with Azure DevOps, Jira, Microsoft Project, Planner, Smartsheet, or similar tools.
  • Familiarity with SAP, Oracle, Coupa, Ariba, or comparable ERP and procurement tools.
  • Familiarity with ServiceNow or similar workflow and service management tools.
  • Familiarity with Visio or Lucidchart.
  • Willingness to travel up to 20%.
  • Availability during standard Eastern Time business hours.
