  • Oversee the executive’s calendar and inbox, arrange meetings, and send follow-up reminders.
  • Arrange business travel, including bookings, itineraries, and expense records.
  • Draft meeting briefs, agendas, proposals, and other business documents.
  • Monitor tasks, deadlines, invoices, and open action items.
  • Enter data and keep business records organized.
  • Arrange candidate interviews and manage scheduling, confirmations, and communications.
  • Publish job listings and format resumes and candidate profiles.
  • Arrange reference checks and keep candidate records accurate.
  • Monitor recruiting pipelines and contribute to candidate reports.
  • Keep records current in Zoho CRM and Zoho Recruit.
  • Arrange client meetings and handle confirmations and follow-ups.
  • Research prospective clients and contacts for sales outreach.
  • Help prepare proposals, LinkedIn connection requests, and follow-up campaigns.
  • Keep CRM data accurate and prepare sales pipeline reports.
  • Update trackers for executive work, recruiting activity, and sales opportunities.
  • Check on open tasks and follow up to support timely completion.
  • Prepare recurring reports and spot ways to improve workflows.
  • Help the executive with sales, recruiting, client relationships, and growing 212°.

  • Previous work as an executive assistant, virtual assistant, administrative assistant, recruiting coordinator, or in a similar role is preferred.
  • Strong organizational ability.
  • Careful attention to detail and reliable follow-through.
  • Excellent written and spoken communication.
  • Able to manage competing priorities and work independently.
  • Familiarity with CRM systems, recruiting platforms, spreadsheets, and productivity tools.
  • Knowledge of Zoho CRM, Zoho Recruit, Microsoft Office, or Google Workspace is an advantage.
  • Able to handle confidential information with discretion and professionalism.
  • Available to work night shifts.
