Senior Event Planner - Toronto Hybrid

Lead complex advisor and employee events for Sun Life’s financial-services business. Oversee international logistics, vendors, budgets, stakeholders and event technology from planning through post-event analysis.

Description

  • Report to the Manager, Events
  • Direct the planning and delivery of medium- to high-complexity advisor and employee events
  • Coordinate international events, national kick-offs, roadshows, educational conferences and multi-day meetings
  • Create program agendas, project plans, key messages and attendee experiences with business partners
  • Manage interconnected event workstreams from initial planning through execution and closeout
  • Oversee creative development, attendee communications, registration, travel, gifting, catering, seating, rooming lists, transportation, venues and onsite operations
  • Manage vendor performance, contracts, procurement, insurance records, invoices, budgets and post-event assessments
  • Evaluate, recommend, source, contract and manage destinations, hotels, venues and suppliers
  • Track complex budgets, forecasts, actuals, accruals, savings opportunities, monthly reporting, CE accreditation and tax reporting
  • Act as the primary contact for business partners, project teams, internal departments and external suppliers
  • Lead project team members and handle challenging situations
  • Support website development, registration, creative and communications strategies, invitee lists, award recipients and attendee messaging
  • Maintain compliance with company policies, accessibility, inclusion, privacy, risk, procurement, regulatory, brand and industry standards
  • Create and support contingency plans and escalation procedures
  • Manage event technology, registration systems, attendee communications, mobile apps or Attendee Hub, reporting, virtual or hybrid tools and post-event analytics
  • Conduct post-event reviews, assess event data, document lessons learned and recommend improvements

Requirements

  • University degree or college diploma in a related discipline
  • At least 10 years of experience leading or supporting multifaceted, complex virtual and in-person events
  • At least five years of experience leading international events
  • English-French bilingualism is an asset
  • Certified Meeting Professional (CMP) designation is an asset
  • Project management experience is an asset
  • Proficiency with Microsoft Office tools, including Word and PowerPoint
  • Advanced technology skills, including Excel
  • Experience with Cvent and Attendee Hub is an asset
  • Availability to work outside regular business hours during peak event periods
  • Willingness to travel up to 20%
  • Residence within 150 km of an international airport
  • Valid passport required
