Remote Bookkeeper - Philippines

Description

  • Handle daily bookkeeping tasks in QuickBooks Online
  • Record, classify, and reconcile bank activity and other financial transactions
  • Keep financial records and supporting documentation accurate and current
  • Process and monitor incoming payments, checks, and direct deposits
  • Track invoices, expenses, commissions, and related financial activity
  • Support financial reporting and other bookkeeping functions
  • Review unpaid invoices and flag overdue or missing payments
  • Investigate payment discrepancies and verify whether transactions were received, missed, or recorded incorrectly
  • Contact clients and other parties about unpaid balances
  • Send payment reminders and tailored follow-up messages
  • Update the business and talent on payment statuses and anticipated receipts
  • Escalate payment matters that remain unresolved
  • Document payment statuses and follow-up actions accurately
  • Support payroll bookkeeping and payment processing
  • Help calculate variable payments based on hours, bookings, commissions, and relevant agreements
  • Maintain and prepare 1099-related records in QuickBooks
  • Classify transactions according to applicable 1099 treatment
  • Maintain records for W-2, 1099, and pass-through transactions where applicable
  • Help process payments for models and talent
  • Review booking-related financial data and confirm payments are recorded correctly
  • Track commissions, deductions, web fees, and other applicable charges
  • Address payment questions and discrepancies with models and clients
  • Work with internal colleagues to resolve financial issues

Requirements

  • Prior experience as a bookkeeper, accounting specialist, accounts receivable specialist, or in a comparable position
  • Strong practical experience using QuickBooks Online
  • Working knowledge of bookkeeping, accounts receivable, reconciliations, and financial transactions
  • Experience monitoring invoices, payments, and unpaid balances
  • Ability to discuss financial matters with clients, vendors, and talent
  • Consistent follow-through when pursuing outstanding items
  • Excellent organization and the ability to manage competing transactions and priorities
  • Ability to work independently and own assigned responsibilities
  • Willingness to learn a specialized business model and its processes
  • Preferred: experience in model management, talent representation, casting, entertainment, or a related business
  • Preferred: payroll and 1099 processing experience
  • Preferred: familiarity with Portfolio Pad, Mainboard, or comparable talent management software
  • Preferred: experience handling high-volume invoices and variable payments
  • Preferred: experience with ACH, direct deposits, bank transactions, and payment platforms
  • Preferred: background in accounts receivable and customer-facing payment follow-up
