Lead Project Manager, Workplace Operations (Remote - United States)

Lead workplace design and construction programs for OpenLoop across U.S. locations. Oversee budgets, vendors, permitting, stakeholder coordination, and operational readiness from planning through turnover.

Description

  • Direct workplace design and construction projects from initial programming and design-team selection through documentation, bidding, construction, closeout, and warranty support.
  • Guide design reviews, confirm operational requirements, assess submittals, RFIs, and change orders, and perform site quality checks.
  • Plan the sequence of design, construction, and activation activities across multiple locations.
  • Coordinate portfolio-wide vendors, long-lead materials, and interdependent workstreams.
  • Drive standardization and bulk-purchasing opportunities while escalating schedule conflicts with proposed resolutions.
  • Monitor budgets, actual costs, commitments, expenditures, contingencies, and completion forecasts.
  • Analyze variances, pursue cost efficiencies, administer changes, and contribute to annual capital planning.
  • Manage competitive procurement for design services, construction, FF&E, and specialty trades.
  • Assess total cost of ownership and collaborate with contract administration on agreements, scopes, insurance certificates, and Zip/Ramp purchase requests.
  • Act as OpenLoop’s owner representative for clients, landlords, property managers, brokers, designers, and contractors.
  • Facilitate project meetings, communicate progress and risks, and maintain decisions and commitments in project management software.
  • Oversee permitting, code interpretation, jurisdictional requirements, and inspections across locations.
  • Work with Legal, Compliance, and Credentialing on facility licensing, registration, and inspection preparation.
  • Coordinate FF&E, IT and security deployments, signage, utilities, occupancy, and relocations.
  • Partner with IT, Security, People Ops, Legal, and Finance to deliver ready-to-use facilities with complete turnover records.
  • Create SOPs, design standards, templates, checklists, and intake processes in Confluence.
  • Use lessons learned to reduce manual effort and support related cross-functional initiatives and reporting.
  • Complete other assigned responsibilities.

Requirements

  • Bachelor’s degree in construction management, civil engineering, or a related discipline, or equivalent practical experience.
  • At least five years of experience managing design and construction projects.
  • Record of delivering multiple concurrent projects across locations while representing an owner or client with external stakeholders.
  • Ability to interpret construction documents, bids, and change orders and convert them into clear scope, cost, and risk evaluations.
  • Strong command of project finances, including budgets, contingencies, and change-order assessment.
  • Advanced proficiency with Excel or Google Sheets.
  • Practical experience creating and managing project plans in Monday, Jira, or a comparable platform.
  • Working knowledge of permitting, building codes, and inspections across multiple jurisdictions.
  • Concise communication, excellent organization, close attention to detail, and the ability to lead meetings and enforce accountability without direct authority.
  • Capacity to work independently in a fast-moving, multi-site environment with changing priorities.
  • Proficiency with Microsoft Office, Google Workspace, and virtual meeting tools.
  • Willingness to travel approximately 25–50%.
  • Preferred background includes healthcare, pharmacy, laboratory, or industrial build-outs; PMP, CCM, or comparable certification; and familiarity with Bluebeam, AutoCAD or Revit viewers, Procore, Zip, Ramp, or Confluence.
