Construction Project Coordinator (Onsite, Brooklyn)

Support JLL commercial real estate projects in an onsite Brooklyn coordination role. Manage project finances, vendors, documentation, compliance, and delivery processes.

Description

  • Support project delivery for a financial services client through financial and administrative coordination
  • Oversee project finances in PMWeb, including transactions, purchase orders, and invoice processing
  • Maintain compliance with contracts and regulations while tracking payment status across systems
  • Conduct quality checks on financial activities from budgeting through final payment
  • Keep project data accurate and prepare financial reports that highlight status and potential issues
  • Establish document management practices and coordinate responsibility alignment with Project Managers
  • Track project health and vendor compliance while verifying the authenticity of supporting documents
  • Assist with project closeout reconciliation, including final lien waivers and commitment updates
  • Identify opportunities to improve processes and apply effective project management practices
  • Coordinate communication among team members, stakeholders, and vendors
  • Keep project records accurate, organized, and readily accessible
  • Review and process budgets, vendor bids and proposals, change orders, and invoices in the financial system
  • Help vendors and clients resolve and track Purchase Order, Change Order, and invoicing questions
  • Partner with operations to develop presentations, training materials, playbooks, guides, and other project deliverables

Requirements

  • 0–2 years of practical experience
  • Strong written and verbal communication skills
  • Excellent customer service and presentation skills
  • Ability to work independently, take initiative, collaborate with multiple stakeholders, and meet deadlines across concurrent projects
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Teams, and Zoom
  • Interest in commercial real estate and property management, with an eagerness to build broad industry experience
  • Detail-oriented, organized, creative, proactive, and self-motivated approach
  • Previous accounting, construction, or real estate support experience is preferred
  • Authorization to work in the United States without sponsorship is required
