Administrative Coordinator II, Neurology (Hybrid)

Support neurology department operations through scheduling, financial administration, purchasing, payroll, and office coordination. This is a full-time hybrid position at the Washington University Medical Campus.

Description

  • Coordinate staff services, interoffice activities, schedules, programs, and related administrative work
  • Prepare reports, meeting minutes, correspondence, lecture materials, and other administrative documents
  • Maintain departmental policies, procedures, objectives, and regulatory records
  • Assess purchasing options and recommend appropriate sources
  • Resolve telephone issues and work with vendors to establish and confirm agreement terms
  • Manage department keys, locks, and mailboxes
  • Coordinate supply orders and distribution while resolving delivery and receipt issues
  • Monitor building maintenance, report problems, submit work orders, and follow up with housekeeping
  • Prepare budget reports and manage financial controls, cost transfers, payroll, and purchasing processes
  • Assist visitors and customers by addressing their questions and needs
  • Support payroll processing and other clerical activities
  • May supervise nonexempt staff
  • Complete other assigned duties

Requirements

  • High school diploma, equivalent certification, or a comparable combination of education and experience
  • At least three years of relevant experience
  • Computer literacy
  • Experience with financial applications
  • Microsoft Excel proficiency
  • Microsoft Outlook proficiency
  • Microsoft PowerPoint proficiency
  • Microsoft Word proficiency
  • Familiarity with office equipment
  • Experience with payroll systems
  • Supervisory experience or capability
  • Experience with Workday software
  • Ability to travel between on-campus and off-campus locations
  • No specific certification or professional license is required
  • A driver's license is not required
