Administrative Coordinator, Clinical Departments

Support multiple clinical departments at Beth Israel Lahey Health’s Danvers clinic by coordinating schedules, records, documents, supplies, and communications. Provide day-to-day guidance to administrative staff and help resolve operational issues.

Description

  • Support the goals of multiple clinical departments through administrative work.
  • Guide other administrative staff on day-to-day functions.
  • Screen calls, take messages, and direct callers to the right person.
  • Welcome and direct patients, families, visitors, and staff.
  • Prepare, format, proofread, and edit correspondence, forms, reports, manuscripts, and other materials.
  • Schedule appointments, meetings, conferences, seminars, and department events.
  • Manage calendars and conference calls, reserve rooms and equipment, and prepare agendas and meeting materials.
  • Arrange travel when needed.
  • Maintain department files, records, databases, and reference materials.
  • Enter data, compile reports, and distribute information.
  • Communicate confidentially with vendors, staff, patients, visitors, and other customers.
  • Maintain office equipment and supplies, and manage supply orders and invoices.
  • Prepare, route, and track administrative documents, resolving delays and errors.
  • Sort mail, photocopy and collate materials, and distribute documents.
  • Help solve problems and provide others with direction, information, and training.

Requirements

  • High school diploma or GED.
  • Three to five years of related work experience.
  • Advanced skills with Microsoft applications such as Outlook, Word, Excel, PowerPoint, or Access, and other web-based applications.
  • Ability to create complex documents, analyze information, and maintain databases.
  • Influenza vaccination is required as a condition of employment.
