Billing and Collections Specialist
Guide legal clients through payments, retainers, and trust accounts while supporting U.S. law firms with client education, complaint tracking, and accounts receivable management.
विवरण
- Explain payment options such as credit cards, personal loans, family or employer support, and legal fee financing programs.
- Obtain written confirmation of credits, write-offs, and billing holds before finalizing affected invoices.
- Call each client before sending a request to replenish funds.
- Review attorney calendars and initiate requests for additional retainers.
- Prepare a Friday report each week on resolved and outstanding complaints.
- Share estimated dollar ranges for upcoming cost events.
- Record billing complaints with timestamps and direct them to the responsible attorneys.
- Maintain funded trust accounts and keep clients informed.
- Begin collections discussions with case updates before addressing outstanding balances.
- Keep accounts receivable below 2% of total billings.
- Provide billing tutorials within five business days of retaining a new client.
- Notify assigned attorneys the same day when a matter falls below its trust threshold.
- Record retainer reductions and billing pauses for each matter in Clio.
आवश्यकताएँ
- At least two years of billing, collections, or accounts receivable experience in professional services; law firm experience is strongly preferred.
- Comfort making outbound calls and speaking directly with clients.
- Proficiency with practice management software; Clio Manage is preferred.
- Ability to read and interpret legal invoices, time entries, trust account statements, and engagement agreements.
- Strong written communication for documented escalations, client messages, and weekly reports.
- Proficiency with Google Workspace, including Gmail, Sheets, Calendar, and Drive.
- Previous experience with LawPay, Dialpad, or Clio Grow.
- English and Spanish language skills.
