Operations Coordinator - Healthcare Consultancy (Hybrid)

Coordinate operational planning, resource management and reporting for Carnall Farrar’s healthcare consultancy. The role focuses on CMap administration, data quality, associate coordination and resourcing support.

Descriere

  • Coordinate business planning, performance reporting and resourcing activities
  • Enter operational data accurately and promptly into company systems
  • Produce CMap reports for monthly reporting, pipeline reviews and operational and resourcing KPI tracking
  • Support recurring and ad hoc reporting by validating and reconciling data
  • Complete data quality and compliance checks to keep CMap records and reports reliable
  • Gather information for business planning and in-year reforecasting
  • Build detailed CMap expertise and provide day-to-day user assistance
  • Maintain user guidance and monitor new CMap features and releases
  • Find opportunities to automate processes with Power BI, Databricks and system dashboards
  • Document operational processes and recommend improvements
  • Assess project requirements and resource availability to support capacity forecasts and utilisation targets
  • Help prioritise the bid pipeline and prepare proposed project teams
  • Review project costing and fee tables, escalating discrepancies
  • Maintain staff and associate skills matrices and recommend suitable team members
  • Update team profiles and keep a central record of resourcing decisions
  • Administer the associate pool, including contracts, availability, skills records and invoice validation
  • Coordinate associate onboarding and offboarding, IT access and CMap configuration
  • Monitor the Operations mailbox and escalate significant operational or resourcing issues
  • Prepare and circulate a weekly resourcing overview
  • Work with Consulting, Finance and People teams to keep CMap as the organisation’s single source of truth

Cerințe

  • A degree with at least a 2:1 in a related subject, or equivalent experience
  • Strong collaboration, interpersonal and communication abilities
  • Outstanding organisation skills, with the ability to handle multiple priorities and deadlines
  • Adaptability when priorities shift, with ownership of assigned work
  • High attention to detail when managing data, trackers and records
  • A proactive, self-motivated and flexible approach with sound problem-solving skills
  • Confidence using digital tools and willingness to learn new platforms and systems quickly
  • Good working knowledge of Microsoft Office, especially Excel
  • Interest in applying data and AI tools safely and responsibly
  • Discretion when handling confidential commercial, pay, day-rate, personal and performance information
  • At least one year of commercial experience in a related administrative, coordination or operations role, including internships, placements or part-time work
  • Experience with CMap or a comparable resource management or CRM system is advantageous
  • Experience in consulting, professional services or another knowledge-led organisation is preferred
  • Familiarity with Power BI, Databricks or other data visualisation tools, or willingness to learn
  • Interest in healthcare and the commercial operation of a consultancy
