Remote Administrative Coordinator at Amgen

Provide senior administrative support to Amgen’s rare disease patient access leaders. Coordinate calendars, travel, meetings, communications, purchasing, and operational workflows in a remote biotech environment.

Description

  • Provide comprehensive administrative support to the Executive Director of Patient Access and the Executive Director of Hub Services within the Rare Disease Business Unit Patient Access organization
  • Manage complex calendars for multiple Executive Directors across several time zones
  • Arrange business travel, including flights, hotels, ground transportation, and expense reporting
  • Apply and maintain knowledge of Amgen policies for travel, onsite meetings, purchasing, and administrative support
  • Prepare and schedule executive programs, recurring meetings, all-staff meetings, and large forums
  • Handle logistics for large meetings, including room setup, audiovisual support, catering, and onsite or virtual arrangements
  • Prepare and coordinate team communications, including new-hire announcements and business updates
  • Manage special projects, events, and team-building activities
  • Maintain distribution lists and organizational charts
  • Order office supplies and process purchases through MyBuy or other approved systems
  • Schedule interviews and manage related logistics
  • Use Outlook, Microsoft Teams, Concur, MyBuy, SharePoint, and emerging AI tools to improve workflows
  • Participate in the RDBU Patient Access administrative team and provide backup support when needed

Requirements

  • Associate degree plus 2 years of administrative experience, 2 years in a technical school setting with hands-on experience, or a high school diploma/GED plus 4 years of administrative experience
  • Strong attention to detail
  • Ability to manage multiple tasks
  • Proficiency with Microsoft Office programs
  • Excellent verbal and written communication skills
  • Proficiency with Outlook, Microsoft Teams, Concur, MyBuy, and SharePoint
  • Demonstrated interest in adopting emerging AI tools such as ChatGPT
  • Ability to manage competing priorities in a fast-paced, changing environment
  • Ability to handle sensitive information with confidentiality, integrity, and discretion
