Office Manager and Consular Adviser — Vancouver Hybrid

Manage New Zealand Trade and Enterprise’s Vancouver office, financial administration, and consular services. Support New Zealanders in Canada while coordinating with government partners.

Description

  • Maintain efficient day-to-day operations for the Vancouver office
  • Support the Trade Commissioner, Consul General, and broader Canada team
  • Oversee facilities, vendors, health and safety, security, IT support, events, and official visits
  • Handle payroll, accounts payable, reconciliations, budgeting, reporting, expense administration, and audit obligations
  • Work with external service providers and regional Finance and People teams in New Zealand and across the region
  • Assist New Zealanders travelling or residing in Canada, including during difficult or distressing situations
  • Handle consular enquiries and cases with appropriate confidentiality
  • Assist with emergency response activities
  • Contribute to official visits, commemorations, and New Zealand election-related work
  • Liaise with the Ministry of Foreign Affairs and Trade and other government partners

Requirements

  • Background in office management, business operations, or a similarly broad administrative position
  • Demonstrated ability to handle payroll, accounts payable, reconciliations, budgets, reporting, and audit obligations
  • Sound judgment when handling confidential and sensitive information
  • Compassionate, composed approach to assisting people in distress
  • Ability to coordinate multiple stakeholders, priorities, locations, and time zones
  • Current authorisation to work in Canada
  • Availability to work three to four days each week from the Vancouver office
  • Interest in artificial intelligence and openness to applying practical AI tools
