Executive Administrative Assistant - GuideWell Source, Hybrid Florida

Provide confidential, high-level administrative support to Florida Blue healthcare executives at GuideWell Source. Coordinate calendars, meetings, correspondence, budgets, reporting, and executive priorities.

Description

  • Deliver advanced, varied, and confidential administrative support to executive leaders and their teams
  • Screen and manage calls, incoming mail and email, publications, and other correspondence, including sensitive materials
  • Organize conferences and meetings
  • Oversee complex calendars while communicating meeting logistics and agendas
  • Draft, edit, and proofread correspondence
  • Prepare presentations, spreadsheets, and reports
  • Administer expense reports, budgets, and administrative compliance activities
  • Develop and maintain digital and paper filing and organizational systems
  • Stay current on organizational policies, procedures, and available resources
  • Support or lead special projects as assigned
  • Communicate professionally and discreetly with people at every organizational level
  • Anticipate executive requirements and address operational issues proactively

Requirements

  • At least five years of experience as an executive administrative assistant or in a comparable role supporting senior leaders
  • Demonstrated capacity to support multiple executives at the same time
  • Broad administrative background, including at least one year of progressively increasing responsibility
  • Working experience with Microsoft Office applications such as Word, Excel, or PowerPoint
  • Strong organizational skills applied to management and client support, with emphasis on execution, precision, and efficiency
  • Ability to manage project schedules, deliverables, and tools including project management and event coordination platforms
  • Availability to work flexible hours or schedules based on business requirements
  • Ability to travel between multiple work locations
  • Preferred: At least 10 years of experience as an executive administrative assistant or in a comparable senior-leadership support role
  • Preferred: Background in healthcare or insurance
  • Preferred: Experience with executive strategic planning and business operations
  • Preferred: Experience using AI tools and automation platforms
