Development Coordinator, Events (Hybrid)

Supports Mass General Brigham’s fundraising events and philanthropy programs. Coordinates executive calendars, donor records, event logistics, gifts, expenses, invoices, and travel.

Description

  • Manage the calendars of two Assistant Vice Presidents proactively
  • Help plan and deliver events, including on-site staffing
  • Collect and enter RSVPs, registrations, data, and follow-up items in a donor database
  • Organize logistics and prepare agendas and materials for meetings, events, appointments, and presentations
  • Document discussions, arrange follow-up actions, and resolve issues as they arise
  • Coordinate office follow-up while monitoring projects and deliverables
  • Draft, revise, and edit documents and responses
  • Handle constituent inquiries by phone and email
  • Submit employee expense reports and vendor invoices accurately
  • Enter fundraising information and action items into a donor database
  • Support the processing of charitable gifts and pledges
  • Monitor and reconcile event contracts, authorization forms, and invoices
  • Develop tracking tools and generate reports to support project management
  • Arrange travel, prepare itineraries, and address potential scheduling conflicts

Requirements

  • High school diploma or equivalent is required
  • One to two years of experience in customer service or relationship-focused work is required
  • A bachelor’s degree is preferred
  • Strong verbal and written communication skills
  • Organizational, time-management, problem-solving, and project-management capabilities
  • Proficiency with Word, PowerPoint, Excel, and Outlook, or the ability to learn these tools quickly
  • Familiarity with videoconferencing platforms; Zoom and Teams experience is preferred
  • Experience with database data entry or management; Blackbaud CRM or Raiser’s Edge experience is preferred
  • Exceptional attention to detail, creativity, and a strong work ethic
  • Interest in learning about the organization and its fundraising work
  • Self-awareness regarding personal work styles and those of colleagues
  • Flexibility and adaptability when priorities change
  • Ability to manage several projects independently while working under multiple overlapping deadlines
  • Ability to collaborate effectively with diverse audiences
