Commercial Administrator - Aberdeen Hybrid

Support supplier and customer onboarding, contract administration, bids, and CRM records as part of Interocean Marine Services’ hybrid Commercial Team in Aberdeen. The role reports to the Commercial Manager.

Description

  • Provide day-to-day administrative support to the Commercial Team through document preparation, data entry, record maintenance, and reporting.
  • Coordinate supplier and customer onboarding, including vendor registration, KYC checks, and upkeep of approved-vendor and customer records.
  • Assist with contract administration by maintaining contract files and tracking key dates, renewals, and follow-up actions.
  • Keep commercial records, databases, and CRM systems accurate and up to date.
  • Help prepare bids, tenders, proposals, and project-related documentation.
  • Coordinate clear and timely communication with internal teams, customers, suppliers, and other external stakeholders.
  • Provide administrative assistance to business development, marketing, and legal teams when needed.
  • Report directly to the Commercial Manager.

Requirements

  • Prior experience in administration or commercial support.
  • Highly organised, detail-focused, and consistent in maintaining accurate work.
  • Proficient with Microsoft Office, especially Word, Excel, Outlook, and PowerPoint.
  • Confident managing records and using CRM or other business systems.
  • Able to prioritise competing tasks and deliver work to deadlines.
  • Strong written, verbal, and interpersonal communication skills.
  • Proactive, adaptable, and willing to respond to changing business needs.
  • Experience in energy, marine, construction, engineering, or a comparable commercial setting is desirable.
  • Background in supplier or customer onboarding, procurement, contract administration, KYC, or tender support is desirable.
  • Experience with CRM or similar business-management platforms is desirable.
  • Working knowledge of procurement or contract administration is desirable.
