Administrative Assistant, Executive Support

Supports senior leaders through executive administration, communications, meeting coordination, events, and process improvement.

Description

  • Manage executive support activities, including calendars, travel, expenses, and general administration.
  • Coordinate calls, emails, correspondence, and other executive communications with discretion.
  • Create corporate documents, presentations, and meeting materials.
  • Work with senior leaders to prioritize work, prepare for meetings, and track commitments.
  • Attend meetings, record notes, and manage resulting action items.
  • Organize virtual and in-person leadership meetings, staff events, and appreciation activities.
  • Maintain structured filing systems and protect confidential information.
  • Develop relationships across global teams to strengthen collaboration and communication.
  • Lead or assist with ad hoc initiatives and process improvements.
  • Use AI tools such as Microsoft Copilot and Claude Cowork to improve administrative workflows.

Requirements

  • A preferred master's degree in business administration, science, technology, or a related discipline.
  • At least six years of overall experience, including three or more years supporting senior managers or executive leaders.
  • Advanced working knowledge of Microsoft Office and experience handling and consolidating data.
  • Excellent spoken and written English communication skills.
  • Ability to manage competing priorities, multitask, and solve problems effectively.
  • Proactive, resourceful approach with demonstrated success improving processes and removing obstacles.
  • Strong relationship-building and collaboration skills across functions and geographies.
  • Experience coordinating leadership meetings, team operations, and large-scale events is advantageous.
  • Adaptability and willingness to learn unfamiliar tools and systems.
  • Sound judgment and professional discretion when managing sensitive information and competing priorities.
