Opis

  • Oversee payables from invoice receipt and three-way matching through payment runs, vendor reconciliations, and month-end close.
  • Process large volumes of vendor invoices, matching purchase orders and receiving records and resolving discrepancies.
  • Assign invoices to the appropriate general ledger accounts, jobs, and cost categories.
  • Prepare and run payments by check, ACH, and card.
  • Reconcile vendor statements and address disputes, credits, and short payments.
  • Prepare payables accruals, reconcile the AP subledger with the general ledger, and clear open items for month-end close.
  • Produce and maintain reports on aging, cash needs, and vendor spending.
  • Find payables bottlenecks and recurring errors, then recommend and implement workflow and automation improvements.
  • Maintain vendor records, collect and verify W-9 forms, assist with 1099 preparation, and apply sales and use tax rules.
  • Assist with internal reviews and external audits while observing approval and separation-of-duties controls.
  • Coordinate with field, operations, purchasing, and shop teams to obtain missing approvals, packing slips, and purchase order details.
  • Reconcile corporate credit card accounts across more than 50 cards and over $100,000 in monthly spending.
  • Investigate and resolve card discrepancies, disputed charges, and unapplied vendor or bank credits.

Zahteve

  • At least five years of accounts payable experience, including full-cycle processing at high volume.
  • Practical experience handling purchase order invoices and three-way matching.
  • Experience reconciling vendor statements and the AP subledger to the general ledger.
  • Working knowledge of an ERP or accounting system such as NetSuite, with the ability to learn new systems.
  • Strong Excel skills, including lookups, pivot tables, and reconciling large datasets.
  • Familiarity with collecting W-9 forms and preparing 1099 reports.
  • Careful attention to detail and a practice of reviewing your own work.
  • A sense of ownership and the ability to see problems through to resolution.
  • Clear, professional communication with vendors and internal teams.
  • Ability to protect confidential financial and vendor information.
  • Self-directed, dependable work in a remote setting, with consistent availability during business hours.
  • Sales and use tax experience across multiple jurisdictions is a plus.
  • Experience with payables across multiple entities or locations is a plus.
  • Experience with AP automation or invoice capture tools is a plus.
  • An associate or bachelor's degree in accounting, finance, or a related field is a plus.
