Special Assistant, Administration - WVU Online (Hybrid)

Supports West Virginia University’s boards, legal operations, research administration, and executive initiatives. Coordinates confidential meetings, compliance activities, records, logistics, and executive follow-up.

Description

  • Deliver logistical and operational support for the WVU Board of Governors, WVU Research Corporation, Office of General Counsel, and Executive Initiatives
  • Coordinate agendas, schedules, logistics, materials, public postings, and deadlines for Board and committee meetings
  • Process agenda submissions and compile Board meeting agenda books
  • Administer the paperless Board meeting system and oversee Board materials
  • Book travel and lodging for Board members and process reimbursement requests
  • Communicate meeting details and arrangements to Board members
  • Record, transcribe, and publish official meeting minutes
  • Process approved Board actions and complete required reports
  • Manage public postings, policy comments, revisions, and related compliance obligations
  • Monitor Board member training and continuing education requirements
  • Maintain historical Board records and the Board of Governors website
  • Provide administrative support to the Board Chair and committee chairs
  • Serve as a liaison to the Higher Education Policy Commission
  • Support WVURC Board meetings with scheduling, agendas, logistics, minutes, records, and follow-up
  • Assist attorneys with special projects, cases, litigation, case management, schedules, timelines, and deadlines
  • Provide administrative support for executive initiatives and external partnerships
  • Prepare briefing materials, maintain follow-up records, draft correspondence, gather information, coordinate meetings, and complete action items

Requirements

  • Bachelor’s degree
  • At least five years of experience in higher education, a legal office or legal field, or another complex and regulated environment
  • Demonstrated responsibility and experience providing administrative support
  • Legal or regulatory environment experience preferred
  • Equivalent combinations of related education and experience will be considered
  • Strong commitment to ethical conduct and integrity
  • Highly organized, with the ability to manage multiple tasks and meet deadlines
  • Ability to handle highly confidential and sensitive information
  • Ability to manage simultaneous, complex tasks and projects
  • Research and critical analysis capabilities
  • Excellent written communication skills
  • Ability to collect and organize substantial information and summarize complex issues clearly
  • Ability to independently prepare concise correspondence, memoranda, reports, and comprehensive meeting agendas
  • Ability to build and maintain effective relationships with individuals, departments, external stakeholders, and regulatory authorities
  • Ability to quickly learn and continually update knowledge of University, state, and regulatory-body policies and procedures
  • Ability to learn and use the paperless Board materials portal
  • Ability to maintain and update the WVU Board of Governors website using appropriate software and protocols
  • Ability to work independently while exercising discretion and sound judgment
  • All qualifications must be satisfied by the date of employment
