Remote Project Controls and Billing Specialist

Hargrove Engineers & Constructors is seeking a remote Project Controls and Billing Specialist based in Alabama to support project setup, invoicing, timesheet review, and receivables. The role helps maintain billing accuracy, manage change orders, and keep project costs within purchase-order limits.

Description

  • Support project setup, change orders, invoicing, receivables, and related administration under general supervision
  • Configure projects according to client requirements in Purchase Orders, Work Orders, or client instructions
  • Process project change orders
  • Prepare cost reports as requested
  • Invoice clients according to established billing schedules
  • Compare teammate hours with client timesheets, resolve discrepancies, and correct records
  • Maintain electronic files for client invoices and supporting documentation
  • Upload invoices to third-party systems
  • Check teammate expense reports for billing accuracy
  • Track project costs to help ensure purchase orders are not exceeded
  • Follow up on outstanding accounts receivable

Requirements

  • A high school diploma or equivalent is required
  • A Bachelor of Science degree is strongly preferred
  • No certification is required
  • Up to five years of administration or billing experience
  • Knowledge of and ability to apply company business standards and good practices
  • Working knowledge of client billing and timesheet verification
  • Ability to perform effectively in a fast-paced environment
  • Exceptional attention to detail
  • Ability to understand current and potential customer deliverable expectations and preferences
  • Strong prioritization skills
  • Discretion when handling sensitive matters and the ability to maintain confidentiality
  • Confidence using business management software
  • Excellent verbal, written, listening, and communication skills
  • Ability to identify and understand teammates’ needs
  • Proficiency with Microsoft Office
  • Ability to lift and carry more than 25 pounds
  • Authorization to work in the United States is required
