Remote Contract Specialist at YPO

YPO is seeking a remote Contract Specialist to manage low-risk agreements, vendor onboarding, and contract lifecycle management system operations. This full-time role supports procurement activities across the United States and Canada.

Description

  • Manage low-value, low-risk agreements throughout the contract lifecycle in line with YPO standards and service expectations.
  • Administer and maintain YPO’s Contract Lifecycle Management system.
  • Support contract preparation by drafting summaries, gathering information, and collecting W-8 and W-9 forms from prospective vendors.
  • Confirm that agreements involving YPO logos receive marketing team approval.
  • Organize and retain contract records according to established policies and procedures.
  • Help develop internal training and educational materials for contracting and lifecycle processes.
  • Handle CLM support tickets, resolve user issues, and escalate matters when necessary.
  • Assist with CLM training and provide continuing guidance to business users.
  • Help improve, test, enhance, and document CLM workflows and processes.
  • Provide administrative assistance to the department as needed.
  • Provide coverage for the Procurement Specialist when required.
  • Prepare ad hoc reports and complete assigned tasks and projects.

Requirements

  • At least three years of experience in contract administration, procurement, or business operations.
  • Working knowledge of contract principles, terminology, and lifecycle processes.
  • Exceptional organization and attention to detail, with the capacity to manage many contracts and deadlines.
  • Strong administrative capabilities.
  • Excellent service skills when working with internal stakeholders and external vendors.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office or comparable software.
  • Experience administering or supporting a contract lifecycle management system is highly preferred.
  • Bachelor’s degree or equivalent relevant professional experience.
  • Availability for flexible or extended hours when needed to support colleagues and stakeholders across multiple time zones.
  • Ability and willingness to travel domestically and internationally without restrictions, approximately 0–5% annually.
  • Comfort with extended periods of desk- and computer-based work.
  • Ability to handle confidential information with discretion and integrity.
  • Ability to balance competing opportunities, member and stakeholder needs, business priorities, and cross-functional expectations while explaining decision rationale clearly.
  • Ability to communicate effectively and build constructive relationships across organizational boundaries.
