Payroll Officer - Perth Onsite

Support outsourced payroll operations, compliance, reconciliations and employee enquiries for Hitachi Rail across Australia and New Zealand.

Description

  • Coordinate weekly, monthly and other payroll cycles managed by the external payroll provider
  • Gather, review and verify payroll data covering hires, terminations, pay changes, contract amendments, allowances, deductions, leave, timesheets and rosters
  • Prepare and check instructions for final, redundancy and out-of-cycle payments
  • Examine payroll outputs and variance reports, investigate discrepancies and arrange corrections
  • Keep payroll records and supporting documentation accurate across the payroll system, HiNext and SAP
  • Handle employee payroll questions and resolve issues involving timesheets, rosters, leave and payroll inputs
  • Provide HR colleagues with payroll information for onboarding, employee changes and offboarding
  • Serve as the main operational contact for the external payroll provider
  • Escalate significant discrepancies, compliance concerns and recurring problems
  • Support obligations relating to PAYG withholding, payroll tax, superannuation and portable long service leave
  • Perform payroll reconciliations and retain evidence of completed checks and approvals
  • Supply payroll information and documentation for internal, external and customer audits
  • Monitor the accuracy and integrity of payroll data across payroll, HiNext and SAP
  • Produce regular payroll reports and assist with HR, payroll and statutory reporting
  • Support payroll data audits, system testing, parallel payroll runs and interface checks
  • Keep payroll procedures, work instructions, calendars and process documentation current
  • Help improve provider services, enhance systems and advance payroll processes
  • Build knowledge of critical payroll activities to strengthen business continuity and team coverage

Requirements

  • A qualification in payroll, accounting, finance, business administration, human resources or a related field is desirable
  • Payroll industry certification or equivalent practical experience is desirable
  • Proven experience supporting end-to-end payroll processing within a complex organisation
  • Working knowledge of Australian payroll legislation and requirements, including PAYG withholding, payroll tax, superannuation and record keeping
  • Experience preparing, coordinating and checking payroll inputs for commencements, changes, terminations, final payments and adjustments
  • Experience conducting payroll validations, reconciliations and variance reviews
  • Experience working with an outsourced payroll provider and New Zealand payroll requirements is desirable
  • Strong capability with integrated HR, payroll and time-management systems
  • Intermediate to advanced Microsoft Excel skills, including data validation, reconciliation and analysis
  • Experience using SAP, HiNext or Workday and outsourced payroll platforms is desirable
  • Understanding of payroll controls, data privacy, audit evidence and confidential records management
  • Ability to interpret enterprise agreements, awards, contracts and organisational policies
  • Exceptional attention to detail and numerical precision
  • Sound discretion in handling confidential information
  • Ability to manage competing priorities during time-sensitive payroll cycles
  • Strong problem-solving ability with a proactive approach to investigating discrepancies
  • Collaborative approach with the independence to work autonomously and escalate issues appropriately
