Onsite Administrative Assistant - Salem, Oregon

Support HOA management operations in an onsite administrative role based in Salem, Oregon. Coordinate communications, vendor services, meetings, records, and association documentation.

Description

  • Communicate by phone and email with vendors, homeowners, and association Boards each day
  • Proofread, edit, and process correspondence and mailings for multiple associations
  • Request vendor bids and prepare and distribute work orders
  • Support managers with projects and contract service provider activities
  • Submit meeting reservation requests and coordinate locations for Board and homeowner meetings
  • Attend Board meetings at least quarterly and when requested
  • Prepare and maintain detailed reports, inventories, spreadsheets, and reference lists
  • Record correspondence in the homeowner database and log time each day

Requirements

  • Manage frequent phone and email communication with vendors, homeowners, and association Boards
  • Proofread, edit, and process correspondence and mailing materials
  • Request bids and prepare and distribute work orders
  • Develop and maintain reports, inventories, spreadsheets, and reference lists
  • Record correspondence in the homeowner database
  • Track working time each day
  • Attend Board meetings at least quarterly and when requested
  • Be available Monday through Friday from 8:00 a.m. to 5:00 p.m.
