Bilingual Estates Specialist – Hybrid, Canada

Manage estate settlements, taxation documents, journal processing, and partner inquiries for Aviso Wealth’s Canadian operations. This bilingual role supports accurate, timely estate administration in collaboration with internal operational teams.

Description

  • Review, prepare, settle, and file tax documents for client estate accounts
  • Process estate settlements, journal entries, and tax document issuance
  • Resolve estate-related inquiries and issues within established internal deadlines
  • Keep information and request channels current across OSM, Laserfiche, and mailbox workflows
  • Work with operational teams and support partners as needed
  • Assess MFDA and IIROC estate settlement procedures and recommend improvements
  • Keep training checklists, departmental procedures, and manuals up to date
  • Share regular progress updates and escalate backlog items for resource planning
  • Participate in IIAC Committee meetings
  • Stay informed about CRA, RQ, HRSDC, and trustee regulations
  • Respond to partner questions through the Estates Contact Centre
  • Resolve issues at the first point of contact whenever possible

Requirements

  • Post-secondary education
  • At least five years of financial industry experience, preferably in estates, registered plans, or operations
  • Knowledge of MFDA, IIROC, CRA, and RQ rules and regulations is preferred
  • Proactive problem-solving ability with strong analytical skills
  • Exceptional attention to detail, accuracy, and quality assurance
  • Ability to work independently and collaboratively
  • Strong customer service orientation
  • Excellent time-management and organizational skills
  • Ability to perform effectively under pressure and meet deadlines
  • Intermediate to advanced proficiency with Word, Outlook, and Excel
  • Dataphile experience is an asset
  • Fluency in written and spoken English and French is required
  • Availability to work standard EST/PST hours
