- Oversee conflicts searches, analysis, documentation, and resolution for prospective clients, new matters, insurers, insureds, adverse parties, and related entities.
- Confirm conflicts are cleared before representation begins.
- Refer complex legal and ethical questions, proposed waivers, and substantive determinations to designated firm counsel.
- Maintain accurate records and consistent review and escalation procedures.
- Manage client and matter intake from initial review through conflicts clearance, approvals, and matter setup.
- Set and apply standardized procedures, documentation rules, approval workflows, and turnaround expectations across all offices.
- Check that intake information is complete and accurate.
- Work with attorneys, billing, finance, and administrative teams to resolve deficiencies and ensure accurate matter setup.
- Create controls against duplicate records, incomplete data, and unauthorized or premature matter openings.
- Administer, monitor, and enforce engagement letter policies and procedures.
- Ensure engagement letters are prepared, issued, tracked, and executed in line with firm requirements.
- Monitor outstanding and overdue engagement letters and follow up with the responsible attorneys and staff.
- Report compliance gaps, aging items, recurring issues, and policy exceptions to firm leadership.
- Set escalation procedures for overdue engagement letters and repeated noncompliance.
- Coordinate exception approvals and documentation with firm leadership and counsel.
- Develop and maintain firmwide policies, procedures, internal controls, and quality standards.
- Lead and supervise conflicts and intake staff.
- Create metrics and regular reports on intake turnaround, conflicts reviews, engagement letter compliance, and exceptions.
- Improve workflows, automate processes, strengthen controls, and promote consistent practices across offices.
- Train and guide attorneys and staff while safeguarding confidentiality and data integrity.

- At least five years of law firm experience.
- Substantial experience with conflicts management, client intake, engagement letter administration, or related law firm operations.
- Insurance defense or litigation law firm experience is strongly preferred.
- Ability to implement and enforce policies, monitor compliance, and address recurring deficiencies.
- Strong leadership, analytical, organizational, and communication skills.
- Ability to work effectively with attorneys at all levels.
- Experience managing personnel, workflows, and firmwide processes across multiple offices is preferred.
- Familiarity with law firm conflicts databases, practice management systems, and client intake processes.
- Sound judgment, discretion, integrity, and commitment to confidentiality.
