Healthcare Administrator (Australian Clinic Experience)

Provide remote administrative support to two Sydney allied health clinics from the Philippines. The role covers Cliniko, patient communications, scheduling, invoicing, and Australian healthcare claims.

Aprašymas

  • Manage clinic email inboxes and patient messages.
  • Coordinate bookings, rescheduling, and cancellations across both clinic locations.
  • Contact patients about missed appointments, incomplete forms, and referral paperwork.
  • Answer and return phone calls as required.
  • Prepare patient invoices and keep account records up to date.
  • Follow up on unpaid balances.
  • Coordinate billing and claims for HICAPS and private health funds, Medicare EPC plans, WorkCover, CTP, and DVA.
  • Review billing details and apply the appropriate item numbers and fee schedules.
  • Maintain Cliniko settings, including fee schedules, billable items, pricing, and appointment types.
  • Prepare and share operational reports with leadership.
  • Organize patient records, referrals, and administrative documents in line with privacy and data security standards.
  • Handle routine back-office administration to free on-site front desk staff for other work.
  • Complete other administrative tasks assigned by the Practice Manager.
  • Work alongside the Practice Manager and Founder as part of the on-site front desk team.

Reikalavimai

  • Hands-on experience using Cliniko, including configuring and maintaining billable items, pricing, appointment types, and reports.
  • Experience in patient communications and administration at an Australian clinic; allied health, physiotherapy, or medical practice experience is preferred.
  • Working knowledge of Australian healthcare funding, including HICAPS and private health funds, Medicare EPC referrals, WorkCover, CTP, and DVA.
  • Experience managing patient email inboxes, complex diary changes, and invoicing processes.
  • Excellent written English, with a warm, empathetic, and professional communication style.
  • Availability for a split shift aligned with Sydney business hours while working from the Philippines.
  • Confident spoken English for direct patient calls and call handling is preferred.
  • Current or recent experience working directly with an Australian healthcare clinic is preferred.
  • Familiarity with VOIP phone systems, call routing, and live call transfers is preferred.
  • General proficiency with Xero, Microsoft 365, or Google Workspace is preferred.
