Sports Sales and Email Marketing Coordinator

Coordinate email and SMS campaigns that promote sports facilities, pickup games, and registration opportunities. Support facility sales and remote pickup-game operations to increase bookings and repeat participation.

Description

  • Plan and launch email and SMS campaigns for facility bookings, pickup games, registrations, and relevant offers.
  • Segment audiences based on location, sport, interests, booking history, and engagement.
  • Develop and refine welcome, lead follow-up, incomplete-booking recovery, reminder, repeat-booking, and win-back automations.
  • Write clear English copy and adapt brand assets for mobile-friendly email.
  • Check audiences, dates, time zones, pricing, links, personalization, and suppression rules before campaigns go live.
  • Track delivery failures, bounces, complaints, and opt-outs; maintain consent records and list health.
  • Test messages, send times, offers, and customer journeys; report on enquiries, bookings, repeat participation, revenue, and engagement.
  • Keep facility locations, dates, time slots, capacity, and pricing information accurate.
  • Respond to sports-space enquiries, suggest available options, prepare approved quotes, and follow bookings through payment confirmation.
  • Manage the sales pipeline, record customer commitments, and pursue renewals and repeat bookings.
  • Confirm availability and exceptions with operations before making commitments, and escalate issues beyond your authority.
  • Create and maintain pickup-game listings with locations, times, capacity, pricing, and player instructions.
  • Track registrations and capacity, and contact potential players to fill open places.
  • Coordinate with local hosts and venue contacts.
  • Handle player questions and waitlists, and share approved changes.
  • Flag games with low enrolment, host shortages, or venue problems; escalate decisions about cancellations, refunds, and safety.
  • Track attendance, feedback, and repeat participation to help improve future games.
  • Learn inventory, customer journeys, and operating processes; review campaigns and establish follow-up and quality-check routines.
  • Own the campaign calendar and sales pipeline, and improve priority automations.

Requirements

  • Practical experience creating email campaigns and automations.
  • Hands-on experience with SMS marketing.
  • Strong spoken and written English for conversations with North American customers.
  • Confidence following up with leads, explaining offers, and asking for bookings.
  • Careful attention to schedules, prices, customer records, and competing deadlines.
  • Experience using a CRM and an email or SMS platform such as Klaviyo, ActiveCampaign, HubSpot, Mailchimp, or a comparable tool.
  • Comfort using spreadsheets and reports to assess conversion, bookings, and campaign results.
  • Reliable communication and a willingness to own the next step until an issue is resolved.
  • Availability to work evenings and weekends on Toronto/Eastern time.
  • Experience in sports, venue bookings, inside sales, event coordination, customer service, or ecommerce retention is helpful.
  • Completion of the Culture Index survey.
  • Completion of the Criteria GAME assessment in English.
