Executive Assistant, Boston (Hybrid)

Support consultants at Egon Zehnder, a global executive search and leadership advisory firm. Coordinate confidential client engagements, complex calendars, travel, deliverables, and business development materials.

Description

  • Support one or more consultants across all phases of client engagements.
  • Plan, execute, and close projects within demanding deadlines.
  • Anticipate scope changes, identify emerging issues, and develop contingency plans.
  • Schedule candidate, client, business development, assignment, internal, and video-conference meetings.
  • Prepare consultants for meetings and presentations with documents, materials, reminders, and travel-time details.
  • Manage complex calendars and prioritize meetings and calls.
  • Attend meetings and capture notes when needed.
  • Coordinate complex travel arrangements, itineraries, agendas, and related documentation.
  • Process expense reimbursements for consultants and candidates.
  • Draft, prepare, and edit confidential correspondence.
  • Provide telephone, visitor, event-planning, reception, and ad hoc administrative support.
  • Keep global database records accurate across clients, candidates, internal contacts, documents, notes, emails, and appointments.
  • Support office operations and help other Executive Assistants manage overflow work.
  • Act as the client and candidate liaison and primary contact for key logistics.
  • Communicate on behalf of consultants with clients, candidates, and internal teams.
  • Address client needs during consultant absences.
  • Coordinate with consultants and research stakeholders to meet deadlines and support client and candidate needs.
  • Deliver high-quality client and candidate materials within assigned timeframes.
  • Balance competing priorities and complete time-sensitive projects.
  • Support accounting with billing, client invoicing, and receivables.
  • Develop relationships with senior executive candidates involved in confidential assignments.
  • Design and manage processes that support the consultant’s business development strategy.
  • Collaborate on marketing presentations and materials, and finalize content for pitches and events.

Requirements

  • Bachelor’s degree preferred.
  • At least five years of experience in an administrative role.
  • Experience in professional services, financial services, or executive search is preferred.
  • Ability to manage multiple projects against defined deadlines.
  • Strong time management, pattern recognition, prioritization, attention to detail, and judgment.
  • Comfort working in ambiguous situations and under pressure.
  • Practical problem-solving skills and resourcefulness.
  • High motivation, a strong work ethic, confidence, and the ability to respond effectively in the moment.
  • Exceptional verbal and written interpersonal and communication skills.
  • Ability to engage professionally with executive stakeholders and colleagues.
  • Collaborative approach with a record of strengthening both team and individual performance.
