Business Support Manager - Tokyo Hybrid

Support adjoe’s Tokyo operations across office administration, HR, procurement, and sales coordination. Connect the local team with functional leaders at the Hamburg headquarters.

Description

  • Run daily administration for the Tokyo office, including vendor coordination and inventory control
  • Handle local purchasing and IT asset orders, including laptops, to support availability and cost-conscious operations
  • Manage the complete local employee onboarding and offboarding process
  • Maintain HR administration and related documentation
  • Coordinate compliance with local authorities and shareholder requirements
  • Process employee expenses each month
  • Act as a friendly, accessible contact for employees
  • Support Sales with data tracking, Google Sheets, and regular CRM updates
  • Contribute to partner outreach activities
  • Arrange client dinners, venues, and team events
  • Provide additional support to the Talent Acquisition team when needed
  • Oversee relationships with prospective local vendors
  • Translate important documents between Japanese and English
  • Coordinate operational matters between the Tokyo team and functional leaders at the Hamburg headquarters

Requirements

  • At least three years of professional experience spanning operational and administrative support, such as office management and HR administration
  • Native-level spoken and written Japanese
  • Business English proficiency at B2 level or above
  • Practical HR experience covering the employee lifecycle, labor law, performance management, document upkeep, absence inquiries, and compliance
  • Additional professional HR experience and knowledge of labor law across borders are advantageous
  • Strong working knowledge of Google Workspace, particularly Google Sheets
  • Experience using CRM and HRIS platforms
  • Highly organized, comfortable with technology, and meticulous about detail and data quality
  • Proactive, service-minded, and able to manage changing priorities, resolve operational blockers, and support colleagues with discretion and warmth
